Job Description:
Job Title: Workplace Services & Events Coordinator
Job Type: Contract
Job Location: Sunnyvale, CA
Pay Rate- $40-45 Based on Experience
Job Description:
Primary Function of Position:
- The Workplace Services (WPS) Planner will report to the Manager of Facilities Operations and Services and will work closely with the Workplace Services Events Coordinator.
- The WPS Planner will review and process reservation requests, manage schedules for event technicians, and communicate with stakeholders to ensure that all event details are understood and communicated with the supporting functions.
Must Have Skills:
- Responsible for maintaining incoming tickets when it comes to event tickets, conference room reservations, training room reservations, open space reservations – they will just be putting in tickets for each space reservations.
- The support teams will be notified once the ticket is submitted.
- Coordinate with onsite event teams.
- Creating schedule for the events tech based on their calendars
- Polished written and oral communication skills
- No industry preference
- 100 or so tickets a month
- Archibus – we use. Nice if have some experience
- High School minimum
Essential Job Duties:
• Monitor the Workplace Services inbox for Events related inquiries and space reservation requests.
• Manage all incoming Cvent tickets and follow up with the requestors if additional information is needed.
• Submit tickets for support functions (Facilities, Janitorial, etc.) when requested.
• Create daily schedules for the Events technicians.
• Proactively engage with requestor for upcoming events.
• Includes week-before event contact to determine if there are any changes to the reservation.
• The planner is expected to walk the events space with the requester as needed.
Required Skills and Experience:
• Candidates must possess strong critical thinking skills to make informed decisions and develop innovative solutions.
• Extensive experience using Outlook
• Highly developed interpersonal / communication skills.
• Writing and speaking skills through written proposals, meeting facilitation, and oral presentations are essential.
• Experience cross-collaborating with multiple business units.
Required Education and Training: Minimum 2 years of experience in the event management environment.
Working Conditions:
- The expectation for this role is to walk the facilities on a regular basis to assess services and overall event set-up.
