Job Overview:

Responsibilities:

  • Monitor and respond to email inquiries related to the annual statistics submission process in a timely and professional manner.
  • Provide guidance to stakeholders on submission requirements, timelines, and technical issues.
  • Escalate complex or unresolved inquiries to appropriate internal teams.
  • Contact public bodies to verify and update organizational and contact information.
  • Manage user accounts including adding, modifying, deactivating access, and resetting passwords.
  • Generate completion statistics and summary reports to support tracking and decision-making.
  • Provide regular status updates to internal stakeholders and leadership.
  • Track and document organizational changes including new entities, name changes, and removals.
  • Maintain accurate records across systems, trackers, and documentation tools.
  • Support process workflows by maintaining spreadsheets and tracking tools.
  • Review submissions for completeness and follow up on missing or incorrect information.

Required Qualifications:

  • High School Diploma or GED.
  • Minimum 1 year of experience in data management, maintaining trackers, and generating reports.
  • Minimum 2 years of experience using Microsoft Outlook for email, calendar, and task management.

Preferred Qualifications:

  • Post-secondary education in Office Administration or related field.
  • 1+ year of experience providing client or stakeholder support via email and phone.
  • Experience with SharePoint Online including collaborative spreadsheet management.
  • Experience in a similar administrative or coordination role.
