Summary
As an Administrative Assistant, you will be integral to our team’s success, managing a variety of administrative functions including task tracking, document management, and meeting coordination. Your expertise in data management, communication, and process improvement will ensure our team operates efficiently and effectively.
Key Responsibilities:
- Track and ensure timely completion of team tasks; manage and update the team’s visual task board.
- Prepare reports, memos, background papers, and other documentation with clarity and precision.
- Schedule, coordinate, and modify meetings for team members and leadership.
- Manage team and project documents, maintaining updated and accurate records.
- Compile, organize, and clean data in Excel; assist in data analysis and reporting.
- Facilitate communication across teams by drafting and distributing professional correspondence.
- Attend and document meetings, summarizing action items and follow-ups.
- Oversee resource management including equipment and supply orders.
- Act as the point person for audit coordination, ensuring proper assignment and follow-up.
- Handle confidential information with discretion and professionalism.
- Support facility needs by submitting service requests and managing digital documentation.
Qualifications & Skills:
- Associates degree in Office Management, Business Administration, Communications, Liberal Arts, or equivalent experience (preferred).
- 2-3 years of relevant administrative experience, ideally within an IT or technology setting.
- Advanced proficiency in MS Excel, Outlook, and Teams; experience with MS Project, Visio, and SharePoint is a plus.
- Strong organizational skills with the ability to prioritize multiple requests and operate under short timeframes.
- Excellent written and verbal communication skills.
- Ability to analyze, organize, and clean data efficiently; experience with data automation tools preferred.
- Proactive mindset with a keen eye for process improvement.
- Ability to work independently and as part of a team, demonstrating initiative and adaptability.
