ABOUT THE ROLE

Our client is seeking a Technology Services Administration Manager to lead the administrative and operational functions of their Technology Services business in St. Louis, MO. Reporting directly to the CFO, this onsite role is responsible for supervising and developing the administrative team, managing quoting, purchasing, order processing, billing, commissions, and contract administration. The manager will own department processes, produce recurring and ad hoc reporting for leadership, and ensure accuracy in invoicing and month-end close. This position requires close collaboration with engineering, sales, and finance teams, and offers the opportunity to drive process improvements and support the growth of a dynamic managed services provider. The ideal candidate will have a bachelor's degree in accounting, finance, or business management, at least five years of experience in a managed services provider environment, and strong knowledge of Microsoft Office, e-Automate, and Autotask or similar platforms. Excellent leadership, analytical, and communication skills are essential, along with the ability to drive process improvements and collaborate cross-functionally. WHAT YOU'LL DO

  • Supervise, train, and develop the Technology Services Administration team, including assigning and balancing daily workload, serving as an escalation point, conducting performance reviews, setting goals, and addressing performance issues
  • Train new team members and provide ongoing coaching on systems and processes
  • Review team output for accuracy prior to invoicing and month-end close
  • Prepare, analyze, and distribute recurring and ad hoc reports on Technology Services revenue, cost, gross margin by product, service, and customer, as well as open orders, backlog, equipment timelines, monthly recurring revenue, contract counts, licensing counts, renewal pipeline, and commission totals
  • Reconcile department billing to the general ledger and support month-end close with finance
  • Analyze unbilled and aged work in process, identify billing leakage, and drive resolution
  • Build and maintain reports and dashboards from e-Automate, Autotask, and Excel; provide ad hoc analysis for leadership
  • Oversee and perform all Technology Services Administrator duties, including managing customer, contact, billing, and item information in e-Automate and Autotask; creating client quotes; importing product data; securing OEM and distributor pricing; submitting deal registrations; calculating margin and lease payments; creating purchase and sales orders; working vendor portals; tracking orders and shipping; processing RMA/RTVs and returns; receiving, serializing, and invoicing product orders; billing professional services; entering, distributing, and tracking commission details; submitting paperwork to Payroll; setting up and maintaining Managed Services and other recurring contracts; processing recurring billings; tracking subscription renewals; and reviewing vendor and contractor invoices
  • Establish, document, and continuously improve department processes and internal controls
  • Partner with sales, engineering, finance, and payroll to resolve pricing, billing, and contract issues
  • Ensure compliance with company policies and support additional department duties as needed
WHAT YOU BRING
  • Bachelor's degree in accounting, finance, or business management required
  • 5+ years of experience in a managed services provider (MSP) environment, including quoting, procurement, billing, and recurring contract administration
  • Extensive knowledge of Microsoft Outlook, Word, and Excel; working knowledge of e-Automate and Autotask or comparable ERP/PSA platforms
  • Prior supervisory experience preferred
  • Excellent communication, interpersonal, leadership, and customer service skills
  • Strong analytical and reporting skills, including ability to build, interpret, and present reports on revenue, margin, and contract performance
  • Detail-oriented and accurate with strong organizational skills
  • Ability to meet deadlines and manage competing priorities across a team
  • Ability to lead and develop others, work cross-functionally, and work independently while staying on task and using forward thinking
  • Ability to identify process gaps and implement improvements
