Job Summary


The Records & Information Management (RIM) Manager is responsible for leading the enterprise program that governs both structured and unstructured records and information throughout their full lifecycle-from creation through retention and defensible disposition.


This role ensures that information stored in business systems (structured data) and collaboration, content, and file based platforms (unstructured data) is managed in compliance with legal, regulatory, privacy, and security requirements. The RIM Manager partners with Data Governance, Legal, Privacy, Information Security, Compliance, and Technology teams to reduce risk, enable discovery, and support operational efficiency.

responsibilities:

The RIM Manager is accountable for records and information across all formats and repositories, including but not limited to:


  • Structured data: enterprise applications, databases, transactional systems, and line?of?business platforms
  • Unstructured data: documents, emails, collaboration content, chat messages, audio/video, images, shared drives, SharePoint, OneDrive, Teams, and other content repositories
  • Physical records and hybrid record collections where applicable
Key Responsibilities


  • Lead the enterprise Records & Information Management program covering structured and unstructured data environments
  • Define and maintain RIM policies, standards, and operating procedures applicable across systems, platforms, and repositories
  • Establish RIM governance structures and decision forums for records and information lifecycle management
  • Serve as the enterprise subject matter expert for recordkeeping obligations and practices
  • Oversee the full lifecycle of records and information-creation, classification, storage, retention, archiving, and defensible disposition-across structured and unstructured sources
  • Define and maintain enterprise retention schedules and file plans that apply to systems, content platforms, and physical records
  • Ensure retention and disposition rules are consistently implemented across applications, databases, collaboration tools, and storage locations
  • Coordinate legal holds and disposition suspensions with Legal and Compliance for impacted systems and repositories
  • Partner with IT and system owners to embed recordkeeping requirements into structured systems (e.g., applications, databases, platforms)
  • Partner with collaboration and content platform owners to manage unstructured data (e.g., SharePoint, OneDrive, Teams, email, file shares)
  • Ensure records captured in unstructured environments are appropriately classified, retained, and disposed of
  • Support integration of RIM controls into system design, data flows, and solution architectures
  • Lead enterprise?wide information inventories covering both structured data assets and unstructured content repositories
  • Define classification schemas, metadata standards, and sensitivity labeling applicable across data types
  • Ensure information is discoverable, protected, and retained based on business value, regulatory requirements, and risk
  • Collaborate with Data Governance teams to align records classification with data domains and standards
  • Ensure compliance with applicable legal, regulatory, and industry standards governing records and information
  • Support audits, investigations, and eDiscovery by enabling timely retrieval of records from structured systems and unstructured repositories
  • Identify and mitigate risks related to over?retention, improper disposal, and unmanaged unstructured data growth
  • Monitor and report on RIM compliance, metrics, and risk indicators across environments
  • Develop and deliver training and guidance on proper handling of structured and unstructured records
  • Advise business units, data owners, and data stewards on recordkeeping responsibilities
  • Promote consistent and compliant information management practices across the organization
Required Qualifications


  • Bachelor's degree in Information Management, Records Management, Library Science, Information Systems, or related field (or equivalent experience)
  • Minimum of 6 years of experience in Records & Information Management, Information Governance, or Data Governance
  • Demonstrated experience managing records across structured systems and unstructured content platforms
  • Strong knowledge of records lifecycle management, retention, legal holds, and defensible disposition
  • Experience partnering with Legal, Privacy, Compliance, Information Security, and IT teams
Preferred Qualifications


  • Professional certification (e.g., CRM, IGP, CIPM, or similar)
  • Experience with enterprise content and collaboration platforms (e.g., Microsoft 365, SharePoint, OneDrive)
  • Experience implementing or maturing an enterprise RIM program spanning structured and unstructured data
  • Familiarity with standards such as ISO 15489 and DAMA?DMBOK
