RESPONSIBILITIES:
Kforce has a client in Santa Clara, CA that is seeking a Q2 Bay LOA Coverage - Admin.

Summary:
We are seeking a highly organized and detail-oriented Administrative Coordinator to provide operational and administrative support to the Critical Environment (CE) team. This role is focused on coordinating maintenance and operational activities, managing documentation, supporting vendor engagement processes, and maintaining critical records within SharePoint and related tracking systems.

Operational & Administrative Support:
* Prepare work packets, maintenance documentation, and operational support materials
* Maintain, review, and manage work order documentation for completeness and quality
* Track maintenance activities, service reports, inspections, and operational records
* Coordinate administrative processes that support critical facility operations
* Ensure documentation is accurately maintained and readily accessible

Vendor & Access Coordination:
* Coordinate with vendors, suppliers, and service providers supporting site operations
* Submit and track access requests for contractors, vendors, and visitors
* Support onboarding and administrative preparation related to maintenance activities
* Assist with vendor scheduling and coordination as needed

Document Management & Compliance:
* Maintain and organize operational records within SharePoint
* Support document control processes, filing standards, and record retention requirements
* Perform data entry, document audits, and quality assurance reviews
* Ensure required operational documentation is complete, current, and stored appropriately

Scheduling & Training Support:
* Assist with scheduling maintenance activities, meetings, and operational events
* Support training coordination, roster management, and tracking of required certifications
* Maintain tracking logs and status reports to support operational visibility

REQUIREMENTS:
* 2+ years of experience in an Administrative Coordinator, Maintenance Coordinator, Facilities Coordinator, Operations Coordinator, or similar support role
* Strong organizational skills with exceptional attention to detail
* Experience managing documentation, records, and administrative processes
* Proficiency with Microsoft Office applications including Outlook, Excel, Word, and Teams
* Experience supporting multiple stakeholders in a fast-paced operational environment
* Strong written and verbal communication skills

Preferred Qualifications:
* Experience coordinating preventative maintenance programs or work order processes.
Facilities, construction, manufacturing, industrial, or data center support experience
* Experience working with vendors, contractors, or service scheduling
* Knowledge of operational tracking systems, maintenance management systems (CMMS), or similar tools
* Experience supporting training, compliance, and operational reporting activities
* Data center experience preferred but not required

Technical Skills:
* Advanced SharePoint experience
* Experience with document management systems and operational recordkeeping
* Familiarity with maintenance tracking, work order systems, or service management platforms
* Ability to manage multiple databases, trackers, and documentation repositories

The ideal candidate is:
* Highly organized and process-oriented
* Comfortable managing large volumes of documentation and operational records
* Proactive in identifying gaps and following through on administrative tasks
* Able to work effectively with operations teams, engineers, technicians, and vendors
* Skilled at balancing multiple priorities while maintaining accuracy and compliance

The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future.

We offer comprehensive benefits including medical/dental/vision insurance, HSA, FSA, 401(k), and life, disability & ADD insurance to eligible employees. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave.
