Summary:

The Logistics Analyst supports the end-to-end execution of air freight forwarding spot quotes. The role receives and reviews internal rate requests, determines whether contracted pricing is available and applicable, sources spot pricing when required, calculates the complete transportation cost, and coordinates with internal stakeholders and freight forwarders through quote selection and move execution. The analyst works across multiple procurement, sourcing, rate-management, reporting, and communication systems while maintaining accurate, timely, and audit-ready records.

Job Responsibilities:

Manage assigned air freight rate requests from intake through closure, including Requests For Information (RFIs) and time-sensitive actual-move spot requests. Requests will be generated from internal and external sources.

Review shipment details for completeness and accuracy, including origin and destination, requested service level, service type, commodity, dimensions, actual weight, chargeable weight, shipment date, special handling requirements, and required delivery timing.

Research contracted rates, routing guides, rate validity dates, approved service levels, lane coverage, and allowable accessorial charges to determine whether an existing contract applies.

Validate calculations and commercial terms against approved rate sources; identify missing, expired, conflicting, or non-applicable rates and escalate exceptions when needed.

Create and maintain rate-request records across multiple systems, which may include Salesforce, RateCloud, Keelvar, Power BI, Excel, Teams, email, and other internal tools.

Prepare and issue RFIs to support planning or cost-estimate decisions, clearly documenting assumptions and advising requestors that pricing may require revalidation before shipment execution.

Launch actual-move spot requests to qualified air freight forwarders, communicate complete shipment requirements, establish response deadlines, monitor supplier responses, and follow up to meet shipment timing.

Compare supplier offers for pricing, transit time, routing, capacity, service level, validity, exclusions, and operational feasibility; request clarification or revised offers when information is incomplete or inconsistent.

Calculate the total expected move cost using the applicable chargeable weight, freight rate, minimum charges, fuel, security, pickup, delivery, handling, customs-related, special-service, and other approved accessorial charges. Normalize currencies and units of measure when required and document all assumptions.

Provide requestors with a clear quote comparison and recommendation that identifies total cost, provider, routing, transit time, quote validity, assumptions, exclusions, and risks. Protect supplier pricing from unauthorized external disclosure.

Collaborate with trade-lane teams, facilities, dealers, factories, procurement colleagues, operations teams, freight forwarders, and other internal and external partners to resolve questions and support timely spot-move execution.

After a quote is selected, confirm award details with the appropriate parties; obtain and record the house air waybill or other booking reference; complete required approval documentation; and update the request through final closure.

Maintain complete supporting documentation, including requests, quotes, calculations, approvals, correspondence, booking details, and exception rationale, in accordance with process, compliance, and audit requirements.

Track open requests, priorities, response times, aging items, savings or cost avoidance, and exception trends; escalate urgent, high-risk, or stalled requests promptly.

Follow export-control, confidentiality, procurement, sourcing, record-retention, and air freight forwarding requirements. Identify opportunities to improve templates, system data quality, turnaround time, and spot-quote reporting.

Skills:

Strong analytical ability and attention to detail, with demonstrated accuracy in rate validation, cost calculations, and data entry.

Ability to manage multiple requests, systems, and deadlines in a fast-paced environment while clearly prioritizing urgent actual moves.

Proficiency with Microsoft Excel, including formulas, lookups, filters, comparisons, and structured cost analysis; working knowledge of Microsoft Word, Outlook, and Teams.

Ability to learn and navigate procurement, sourcing, rate-management, CRM, and reporting platforms.

Clear written and verbal communication skills, including the ability to request missing information, summarize quote options, document assumptions, and coordinate with stakeholders across functions and regions.

Working knowledge of air freight concepts such as chargeable weight, dimensional weight, service levels, origin/destination pairs, transit time, routing, quote validity, and accessorial charges preferred.

Sound judgment in recognizing rate discrepancies, operational risks, incomplete data, and situations requiring escalation.
