Summary

General Purpose

Support all phases of the enterprise IT Asset Management (ITAM) process for hardware, software, operational technology, or other IT assets, ensuring the enterprise is equipped with appropriate assets. Responsibilities encompass the entire asset lifecycle, from procurement through to offboarding and decommissioning. Support vendor relationships and assist with agreement administration. Apply working knowledge of ITAM processes and execute on multiple assignments.

Job Duties and Responsibilities
  • Lifecycle Management
    • Coordinate procurement, deployment, maintenance, and decommissioning of IT and operational technology (OT) assets
    • Manage warranties, service agreements, and vendor relationships
    • Assist with lifecycle planning, including forecasting replacement cycles and end-of-support milestones
  • Inventory & Data Management
    • Support and maintain automated IT and OT asset inventory within the appropriate system or database
    • Clean, validate, and reconcile asset data to ensure accuracy, compliance with data models, naming conventions, and metadata requirements
    • Maintain documentation repositories for IT and OT assets, including network topology, system architecture, configuration details, and compliance standards
  • Compliance & Reporting
    • Track asset compliance across network segments, OS/firmware versions, software versions, lifecycle status, and security posture
    • Identify non-compliant assets and document corrective actions
    • Produce recurring compliance, lifecycle, and cost reports; produce reports to assist management in forecasting needs
    • Develop dashboards and metrics reflecting compliance posture and lifecycle position
    • Perform audits and regular inventory reviews; support internal/external audits
  • Software & Licensing
    • Track software licenses and installations across IT and OT environments
    • Ensure licenses are accurately represented in appropriate system or database
    • Support cost forecasting for software assets
  • Procurement & Vendor Management
    • Maintain contract repository for software and leased hardware assets
    • Leverage purchasing agreements, carrier incentives, promotions, volume discounts, and other methods to secure best pricing
    • Collaborate with other departments to meet project hardware and software requirements
    • Operate as point of contact for remote offices and locations regarding asset assignment. Collaborate with the accounting department to resolve intercompany chargeback issues
  • Mergers & Acquisitions
    • Support efforts to merge accounts and transfer assets
  • Documentation & Governance
    • Maintain version control and ensure documentation remains current
    • Create and maintain documentation related to procurement, asset maintenance, offboarding, and decommissioning of various IT assets
    • Help to implement asset management processes and procedures for enterprise
    • Deploy best practices for enterprise ITAM

Education and Experience
  • Undergraduate degree in information technology, computer science, procurement, or related curriculum (or equivalent combination of experience and education)
  • 2 to 5 years of IT asset management procurement, or related experience in a large company environment
  • Certification and/or License - may be required during course of employment

Knowledge, Skills, and Abilities
  • Working knowledge of ITAM standards and best practices and asset management databases and systems
  • Able to demonstrate superior customer service skills
  • Able to demonstrate good organization and task management skills
  • Able to apply analytical thinking to interpret and work on multiple data sets to improve data accuracy and support decision making across ITAM and related modules
  • Able to demonstrate basic financial cost saving skills
  • Able to communicate effectively (both verbally and in writing), translate technical topics into easy-to-understand concepts, and clearly document technical processes
  • Able to ask direct and logical questions to determine problem causation and follow documented processes to a successful resolution
  • Able to work with accuracy and attention to detail
  • Knowledge of ServiceNow hardware asset management (SAM) module
  • Must be able to read, write and speak English
