Summary

Reporting to the Principal the Manager, Administration & Operations will lead their team through data driven decision making which will include aspects of Tribal law and policy application, budget management and reporting, shared services management, managing and collecting student data as it pertains to WASC, and partnering with human resources for overseeing systems that manage staff training and compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Administration\u00A0and\u00A0Operations\u00A0
  • Demonstrates the ability to accurately apply Tribal policies and law in all areas of program management, budget and department responsibilities.
  • Collaborate with school and department staff to determine and accommodate needs in areas related to program compliance and administration and update current systems or implement new systems to streamline daily operations. \u00A0
  • Partners with the leadership team prepare reports for the Education Board, project summaries, and data reporting related to\u00A0the department\u2019s\u00A0major initiatives.
  • Oversee the organization and coordination of department documents, student records may be of a highly technical or confidential nature.
  • Implement department policies, parent handbooks, and the department safety plan for all Education Department staff and shared services. Develops, evaluates and makes recommendations to the leadership team regarding updates.
  • Manage all shared services responsibilities through routine check-ins, meetings, or other necessary systems.
  • Oversee Tribal communications related to Education Department programs and initiatives, ensuring messaging is accurate, timely, consistent, and aligned with communication standards.
  • Provide administrative support during the WASC process to the leadership team, parent working group and Education Board to draft mid-year and comprehensive self-study report.

2. Accounting and Finance\u00A0
  • Oversee all aspects of the department budget, which includes school, department, and general welfare benefits. Monitors the Education Department\u00A0budget\u00A0for accuracy and\u00A0trends, and reports inconsistencies and negative\u00A0trends\u00A0to the Principal and Director\u00A0in a timely manner.
  • Prepares\u00A0department-wide technical reports to be reported on a quarterly basis to the Education Board.
  • Organizes and accurately tracks all spending in alignment with Tribal laws and policies.

3. Data Management\u00A0
  • Develop procedures and guidelines to ensure consistency in data reporting and project management.
  • Manages multiple student databases to ensure that administrative functions are aligned with approved policies and Tribal laws regarding any confidential student information.
  • Prepare and maintain a variety of records and reports related to department initiatives.

4. Human Resources\u00A0
  • Serve as a technical resource to department leadership for teaching credential eligibility, requirements, procedures, and familiar with the process to clear teacher credentials.
  • Works with Human Resources to verify completion of required staff training such as mandated reporter, CPR, and safety training.
  • Facilitates\u00A0onboarding\u00A0of\u00A0new staff and serves as a subject matter expert and trainer on Tribal community engagement, providing education and guidance to new hires and existing staff on cultural competency, relationship-building, community-specific needs, and best practices to foster respectful and effective interactions.\u00A0

5. Performs\u00A0other\u00A0duties\u00A0as\u00A0assigned\u00A0to\u00A0support\u00A0the\u00A0e\uFB03cient\u00A0operation\u00A0of\u00A0the\u00A0department.\u00A0

SUPERVISORY RESPONSIBILITIES

Carries out supervisory responsibilities in accordance with the organization\u2019s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning reviewing and directing work; evaluating and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Makes hiring decisions and designs individual development plans with succession planning in mind for all key roles.

\u00A0EDUCATION, EXPERIENCE AND QUALIFICATIONS
  • A bachelor\u2019s degree is required.
  • A minimum of 3 years of experience in providing medium to high-level administrative, operational, and financial support to management is required.
  • A minimum of 3 years of\u00A0supervisory\u00A0experience of multiple staff\u00A0is required.\u00A0
  • Administrative experience in a school environment is preferred.
  • Related, relevant, and/or direct experience may be considered in lieu of\u00A0minimum\u00A0educational requirements\u00A0indicated\u00A0above.\u202F\u00A0\u00A0


KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Knowledge of Western Accreditation of Schools and Colleges process is required.
  • Must be willing and capable\u00A0to learn\u00A0the Serrano language.
  • Must consistently maintain poise and a professional demeanor under challenging and high-pressure situations.\u00A0
  • Excellent written and verbal communication skills to interact with Tribal community, executives, and external stakeholders.\u00A0
  • Excellent organization, time\u00A0management\u00A0and follow-up skills; high sense of urgency;\u00A0demonstrated\u00A0ability to successfully handle multiple projects concurrently; ability to work as a team is\u00A0required.\u00A0
  • Ability to communicate, and present effectively, and the demonstrated ability to be persuasive and interact with diverse audiences.\u00A0
  • Knowledge of business and management principles in leadership techniques, resource allocation, coordination of\u00A0resource\u00A0and people is\u00A0required.\u00A0
  • Strong analytical skills to assess situations, obtain appropriate\u00A0information\u00A0and make sound judgment and independent decisions.\u00A0

PHYSICAL REQUIREMENTS/ WORKING CONDITIONS \u2013 ENVIRONMENT

  • Primary work environment is in a climate-controlled office setting.
