Key Responsibilities
Meeting & Event Planning
Schedules and coordinates complex meetings across global time zones.
Prepares agendas, presentations, reports, and other meeting materials.
Plans and organises virtual and in-person business unit events.
Communications
Manages confidential and highly sensitive information with absolute discretion.
Acts as a professional point of contact for internal and external stakeholders worldwide.
Special Project
Supports and coordinates cross-functional projects with global teams as required.
Budgeting & Expense Management
Manages departmental budgets and financial processes.
Prepares and processes POs and expense reports, ensuring timely and accurate completion.
Calendar & Travel Management
Oversees complex executive calendars, resolving clashes across regions and time zones.
Coordinates international and domestic travel, itineraries, and logistics.
Core Competencies & Tools
Candidates must be highly proficient in:
Outlook & Outlook Calendar advanced diary management across multiple time zones
Concur Expense & Travel processing expenses, booking travel, and managing approvals
Microsoft PowerPoint preparing high-quality presentations and materials
Microsoft Teams organising virtual meetings, managing files, and collaborating globally
Qualifications
3+ years experience in an Executive Assistant or similar administrative role, ideally within a global environment.
Strong organisational skills, attention to detail, and ability to work across multiple time zones in a fast-moving environment.
