Summary

Job Summary:

We are seeking a highly organized and proactive Executive Assistant with prior sales, account management, or business development experience to support executive leadership. This role does not require a technical background; however, the ideal candidate should be able to quickly understand technical concepts, communicate effectively with technical teams, and coordinate with clients and internal stakeholders.

Key Responsibilities:

  • Provide executive-level administrative support, including calendar management, travel arrangements, and meeting coordination.
  • Assist with sales operations, client communications, and follow-up activities.
  • Prepare presentations, reports, proposals, and meeting notes.
  • Coordinate with technical teams to gather project updates and communicate them effectively to clients and stakeholders.
  • Track sales opportunities, customer interactions, and executive action items.
  • Manage confidential information with professionalism and discretion.
  • Support business development initiatives and help maintain strong client relationships.
  • Organize executive meetings, prepare agendas, and ensure timely completion of follow-up actions.
  • Assist in contract documentation, proposal submissions, and other business operations as needed.

Required Qualifications:

  • Bachelor''s degree in Business Administration, Marketing, Communications, or a related field.
  • 2–5 years of experience as an Executive Assistant, Sales Coordinator, Account Coordinator, Business Development Coordinator, or similar role.
  • Prior experience supporting sales or business development functions is highly preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Ability to understand and grasp technical products, services, and business discussions without being a technical expert.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Microsoft Teams or Zoom.
  • Experience with CRM platforms (Salesforce, HubSpot, or similar) is a plus.

  • Ability to work independently in a fast-paced environment.
  • Attention to detail and excellent follow-through.
  • Professional demeanor with strong problem-solving abilities.
  • Comfortable interacting with executives, clients, and technical teams.

  • Has a background in sales, customer success, business development, or account management.
  • Is naturally organized and proactive.
  • Can understand technical discussions well enough to coordinate between executives, engineers, and clients.
  • Excellent communicator who can represent executive leadership professionally.
