Job Description:

The Administrative Assistant provides dedicated administrative support to the Field Services & Warranty dept. Managers/Analysts. This role requires strong organizational and multitasking skills, attention to detail, and the ability to work independently while handling a variety of responsibilities in a fast-paced environment.

Key Responsibilities:
  • Provide administrative support to Field Service Managers/Analysts
  • Create and process goods receipts (GR) using company systems.
  • Input and verify service ticket hours for accuracy in ADP.
  • Enter contractor hours in SAP, ensuring precision and compliance with company guidelines.
  • Assist with departmental scheduling, calendar management, and coordination of meetings and conference calls.
  • Organize and coordinate meetings, including making travel arrangements and handling logistics as needed.
  • Process invoices, prepare expense reports, and handle budget-related tasks in accordance with company policies.
  • Collaborate with internal and external vendors on departmental needs and special projects.
  • Maintain departmental files, records, and supply inventories, and coordinate IT equipment requests for team members.
  • Answer department calls, manage inquiries, and resolve internal/external issues with professionalism.
  • Support the preparation, billing, and tracking of jobs and projects.
  • Provide orientation and mentoring support to new administrative team members as needed.
  • Perform additional duties and responsibilities as assigned to support departmental goals
  • Create power point presentations on business analytics data

Qualifications and Skills:
  • Experience with SAP, ADP, or similar systems for time tracking and data entry.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Proficiency in office software, including Microsoft Office.
  • Excellent communication and interpersonal skills for handling sensitive and confidential matters.
  • Ability to prioritize tasks and meet deadlines in a dynamic environment.


Required education or minimum level:
  • High school education or equivalent required
  • Associate degree preferred, or equivalent experience


Experience:
  • 0-2 years' experience as administrative assistant
  • 0-2 years in KPI/Metrics reporting
  • Experience in the compression manufacturing/service industry is preferred


Software Knowledge:
  • Advanced computer skills in Microsoft office (Excel, Word, Outlook, SharePoint)
  • Experience in Power BI software is preferred
  • Previous experience in SAP/Oracle Based Work order management system is preferred
