Sourcing Specialist

Title:  Sourcing Specialist
Location: Fully Remote
Duration: Contract to hire after 12 months

This role is responsible for managing the day-to-day sourcing and procurement process, from identifying project demand and conducting RFQs, to coordinating purchase order issuance and tracking equipment deliveries. The Sourcing Specialist serves as a key liaison between suppliers and internal stakeholders, ensuring that procurement activities are executed efficiently and that materials are delivered in support of project schedules.

Key Responsibilities

Stakeholder Engagement & Demand Planning

• Partner with internal stakeholders (project management, engineering, commissioning, etc.) to identify equipment and service requirements early.
• Gather technical and commercial requirements needed to support sourcing activities.
• Maintain visibility into upcoming procurement needs and project schedules.
• Facilitate communication between internal stakeholders to ensure alignment on design specifications, delivery expectations, and changes.

RFQ Management & Bid Evaluation

• Prepare, issue, and manage Requests for Quotation (RFQs) for assigned equipment and services.
• Coordinate supplier questions, technical clarifications, and bid communications.
• Collect, organize, and evaluate supplier responses for compliance with project requirements.
• Prepare bid leveling and comparison analyses, including commercial, technical, and schedule considerations.
• Develop sourcing recommendations and support supplier selection decisions.
• Participate in negotiations related to pricing, lead times, and commercial terms.

Purchase Order Management

• Prepare award recommendations and purchasing documentation (intake form).
• Coordinate with Procurement and Finance teams to ensure timely issuance of purchase orders.
• Verify that approved pricing, scope, specifications, and delivery requirements are accurately reflected in purchase orders.
• Track purchase order status and proactively resolve delays or discrepancies.

Supplier Coordination & Expediting

• Serve as the primary point of contact between suppliers and internal technical stakeholders.
• Monitor supplier manufacturing schedules, production milestones, and shipment commitments.
• Follow up regularly with suppliers to ensure delivery commitments are met.
• Coordinate factory testing schedules, inspections, documentation requirements, and shipment updates.
• Escalate and help resolve technical, commercial, or schedule-related issues that may impact project timelines.

Delivery Tracking & Reporting

• Maintain procurement trackers and project reporting tools.
• Provide regular updates on RFQ status, purchase orders, manufacturing progress, and equipment deliveries.
• Identify supply chain risks and communicate mitigation plans to project teams.
• Support invoice reconciliation, receiving activities, and procurement closeout requirements.

• Excellent communication skills and ability to work effectively with both suppliers and internal stakeholders.
• Strong MS Office skills, including bid evaluations, quote comparisons, and procurement tracking.
• A proactive and detail-oriented approach to managing supplier commitments and project deliverables.
• Ability to thrive in a fast-paced construction and infrastructure environment.

Experience

• 2–5 years of experience in procurement, sourcing, supply chain, vendor management, or project procurement.
• Experience supporting construction, manufacturing, industrial, electrical infrastructure, or data center projects is preferred.
• Experience managing RFQs, purchase orders, and delivery tracking is highly desirable.

Education

Bachelor''s degree in Supply Chain, Business, Engineering, Construction Management, or a related field is desired.
