Job Details

A well-established law firm is seeking a detail-oriented Legal Billing Clerk / E-Billing Specialist to support billing and collection activities for assigned clients, practice groups, and billing attorneys. The role primarily focuses on electronic billing, with an emphasis on insurance defense billing processes, client-specific billing guidelines, invoice accuracy, and timely submission.

The ideal candidate has at least three years of hands-on insurance defense billing experience, including electronic billing through multiple platforms. Experience with Aderant Expert is a plus; however, candidates with experience using other legal billing systems will be considered if they demonstrate a strong understanding of insurance defense billing requirements and complex invoicing arrangements.

Responsibilities:
  • Process billing data and maintain accurate information in internal billing, accounting, and matter management systems.
  • Update matter-opening information and ensure relevant internal systems reflect accurate client and matter details.
  • Review and process pre-bills and invoices, making necessary corrections to billing rates, narratives, time entries, expense records, timekeeper information, and matter identification fields.
  • Prepare, submit, monitor, and distribute electronic invoices through client-specific e-billing platforms.
  • Interpret and follow insurance carrier billing guidelines and outside counsel billing requirements.
  • Identify and resolve invoice rejections, billing discrepancies, compliance issues, and other obstacles to timely invoice processing.
  • Assist with split billing and other complex billing arrangements, including appropriate allocation of fees and expenses where applicable.
  • Monitor invoice status, accounts receivable, and unbilled inventory; follow up on outstanding invoices and billing issues to support timely collections.
  • Communicate with billing attorneys, legal staff, accounting colleagues, and other stakeholders to resolve discrepancies and keep billing cycles on schedule.
  • Identify recurring billing problems and recommend process improvements to increase accuracy and efficiency.
  • Maintain organized records and follow through on open items with minimal supervision.

Qualifications:

At least three years of insurance defense billing experience strongly preferred.
  • Hands-on experience with electronic billing platforms and multiple client billing systems.
  • Strong understanding of insurance defense billing procedures, carrier requirements, and outside counsel guidelines.
  • Experience with split billing, complex billing arrangements, or multiple insurance clients is highly desirable.
  • Familiarity with legal billing systems such as Aderant Expert, Elite 3E, Legal Tracker, CounselLink, TyMetrix 360, or comparable platforms.
  • Strong attention to detail and the ability to identify and resolve billing discrepancies.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities, meet strict billing deadlines, and work effectively in a team environment.
  • Demonstrated initiative, accountability, and follow-through on outstanding items.
  • Flexibility to adapt to changing client billing requirements and electronic billing technologies.
