Our client, one of the largest municipal organizations in the Southwest, is seeking a Project Coordinator to join its Information Technology Project Management Office (PMO). This role provides essential coordination and administrative support across a portfolio of technology and business transformation initiatives that serve a large and diverse organization.
This position offers the opportunity to collaborate with stakeholders from 40+ departments, helping to ensure projects remain organized, on schedule, and aligned with business objectives. The ideal candidate is highly organized, proactive, and comfortable working with both technical and non-technical teams.
While primarily remote, candidates must reside in the Greater Phoenix area and be available for occasional onsite meetings, workshops, and project activities.
Position Overview
The Project Coordinator plays a key role in supporting project managers and delivery teams through all phases of the project lifecycle. This individual will help coordinate activities, maintain project documentation, facilitate meetings, track risks and action items, and provide project reporting to leadership and stakeholders.

Key Responsibilities
Project Coordination & Administration
- Support project managers in maintaining project schedules, milestones, timelines, and deliverables.
- Coordinate day-to-day project activities to ensure work progresses according to plan.
- Monitor project tasks and follow up with team members to ensure deadlines are met.
- Assist in managing multiple projects and priorities simultaneously.
Meeting Facilitation & Communication
- Schedule, organize, and facilitate project meetings, workshops, and stakeholder sessions.
- Capture meeting minutes, key decisions, action items, and follow-up tasks.
- Prepare and distribute project communications and updates to stakeholders.
- Build strong working relationships across project teams and business departments.
Reporting & Documentation
- Prepare project status reports, dashboards, and presentations for leadership and stakeholders.
- Maintain organized and accurate project documentation repositories.
- Ensure project records, templates, schedules, and supporting materials remain current and accessible.
- Assist with project audits, governance reviews, and status reporting activities.
Risk & Issue Management
- Track project risks, issues, dependencies, and action items.
- Escalate concerns appropriately and help drive timely resolution.
- Support project governance processes and compliance with PMO standards.
- Identify potential roadblocks and proactively communicate impacts to project leadership.
Required Qualifications
- Bachelor’s degree in Business, Information Systems, Technology, Operations, or a related field.
- Experience coordinating or supporting projects in a business, operations, or technology environment.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to confidently lead meetings and communicate with leadership and stakeholders.
- Experience using Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Proficiency with collaboration and document management tools such as Microsoft Teams and SharePoint.
- Experience working with project management tools such as Microsoft Project, Jira, Smartsheet, or similar platforms.
Preferred Qualifications
- Experience supporting technology, software implementation, infrastructure, or business transformation projects.
- Familiarity with PMO processes, project governance, and project lifecycle management.
- Experience working in a large organization with multiple departments, business units, or stakeholders.
- Understanding of Agile, Waterfall, or hybrid project management methodologies.
- Prior public-sector, municipal, government, healthcare, higher education, or enterprise environment experience is a plus.
