EMR Workflow Assessment & Optimization Consultant
Our client, a non-profit healthcare and hospice provider in the Wilmington, NC area, is seeking an experienced EMR Workflow Assessment & Optimization Consultant to support the organization in preparing for a new Electronic Medical Record (EMR) implementation.
This consultant will conduct a comprehensive assessment of current operational and clinical workflows, perform detailed process analysis, identify opportunities for improvement, and develop recommendations for streamlined, optimized future-state workflows. The work will focus on ensuring that the organization''s processes are designed around efficient patient care, effective clinical operations, strong case management practices, and optimal utilization of the new EMR.
This is a contract position that can be performed primarily remotely, with several planned visits to the client''s Wilmington-area location for stakeholder interviews, workflow observation, validation sessions, and other on-site activities.

Key Areas of Responsibility
The consultant will assess current state workflows and identify optimization opportunities across:
- Intake: Patient/referral intake, information gathering/documentation, handoffs, communication, and process gaps/bottlenecks.
- Referrals: Referral receipt, triage, qualification, processing, tracking, follow-up, communication, and improving timeliness/conversion.
- Scheduling: Scheduling workflows, resource coordination, appointment management, staff utilization, communication/handoffs, automation, and workflow simplification.
- Inpatient Care: Admission/onboarding, clinical documentation, care processes, interdisciplinary workflows, communication/handoffs, discharge/transitions, and patient-care improvements.
- Inpatient & Outpatient Case Management: Case management, patient assessment/care coordination, care planning/follow-up, interdisciplinary communication, documentation, information flow, transitions of care, and continuity/efficiency improvements.
Primary Responsibilities:
- Conduct a deep-dive current-state workflow assessment across identified clinical and operational areas.
- Interview and collaborate with clinical, administrative, operational, and leadership stakeholders.
- Observe and document how work is currently performed, including variations across departments, roles, and care settings.
- Develop detailed current-state process maps and workflow documentation.
- Identify process gaps, bottlenecks, redundancies, unnecessary handoffs, manual work, and opportunities for standardization.
- Assess the interaction between people, processes, technology, information, and organizational policies.
- Identify opportunities to leverage EMR capabilities to eliminate manual processes and improve workflow efficiency.
- Facilitate stakeholder discussions to validate current-state findings and build organizational alignment.
- Develop recommendations for optimized future-state workflows that support the new EMR implementation.
- Help distinguish between processes that should be standardized versus those that require appropriate clinical or operational flexibility.
- Identify opportunities for workflow automation, improved data capture, reduced duplication, and better information flow.
- Ensure proposed workflows support patient-centered care, regulatory requirements, operational efficiency, and effective clinical documentation.
- Collaborate with the EMR implementation team and client leadership to translate workflow findings into actionable implementation requirements.
- Present findings, recommendations, and future-state concepts to leadership and key stakeholders.
Required Qualifications:
- Demonstrated experience performing business process analysis, workflow assessment, and process optimization within a healthcare environment.
- Experience conducting current-state and future-state workflow assessments.
- Strong understanding of healthcare operational and/or clinical workflows.
- Experience facilitating stakeholder interviews and workflow discovery sessions.
- Ability to translate complex operational processes into clear workflow maps and actionable recommendations.
- Experience identifying process inefficiencies and designing streamlined workflows.
- Strong analytical, facilitation, communication, and documentation skills.
- Ability to work independently in a consulting/contract environment.
- Ability and willingness to travel to the Wilmington, NC area for a limited number of on-site engagements.
Preferred Qualifications:
- Hospice experience strongly preferred, but not required.
- Experience with home health, palliative care, hospital, health system, ambulatory, or other healthcare delivery environments.
- Lean Six Sigma Black Belt certification or equivalent process-improvement experience preferred.
- Experience supporting an EMR/EHR implementation, optimization, conversion, or transformation initiative.
- Experience developing future-state workflows specifically in preparation for an EMR implementation.
- Experience working with clinical case management and interdisciplinary care teams.
- Familiarity with healthcare regulatory, compliance, documentation, and quality requirements.
- Experience working with non-profit healthcare organizations.
