Summary

The Lead IT Asset Management (ITAM) Administrator is responsible for the end-to-end lifecycle management of end-user computing (EUC) hardware assets. This role serves as the subject matter expert for hardware asset governance, ensuring inventory and asset tracking accuracy, cost optimization, compliance, and alignment with financial planning and budgeting processes.
The position partners closely with IT Operations and Support, Procurement, Finance, and Security to drive data accuracy, forecast hardware spend, support budget planning, and enable informed decision-making across the organization. The Sr. IT Asset Management Specialist must possess strong leadership skills, a thorough understanding of hardware technologies, and the ability to work collaboratively with various stakeholders.

Key Responsibilities:
IT Asset Lifecycle Management
• Own and manage the full lifecycle of end user hardware assets: request, procurement, deployment, refresh, redeployment, and retirement.
• Establish and maintain ITAM policies, procedures, and controls specific to EUC hardware.
• Maintain single source of truth for EUC hardware inventory across asset management and financial systems.
• Collaborate to define and enforce hardware standards, refresh cycles, and disposition policies.
• Ensure accurate asset tracking and reconciliation with physical inventory.
• Ensure that all hardware lifecycle activities are compliant with organizational policies, industry standards, and regulatory requirements.
• Review end user experience metrics and adjust refresh schedules to ensure customer satisfaction.

Vendor Management
• Establish and nurture strong relationships with hardware vendors to ensure the procurement of high-quality products and services.
• Evaluate and select vendors based on their ability to meet organizational needs, cost-effectiveness, and reliability.
• Be an integral member of the team negotiating contracts with vendors to secure favourable terms and conditions, including pricing, delivery schedules, and service level agreements (SLAs).
• Continuously monitor vendor performance to ensure compliance with contractual obligations and address any issues that may arise.
• Vendor types: End user compute hardware (laptops, desktop, tablets), mobility, and accessory vendors.
• Own hardware stock level forecasting and partner with PC vendors to ensure inventory availability aligned to consumption trends, budget forecasts, and planned initiatives.

Solution Identification and Implementation
• Collaborate with internal teams to assess hardware needs and identify opportunities for improvement in existing hardware solutions and lifecycle processes.
• Implement automation to streamline workflows and optimize hardware lifecycle management.
• Partner with End User engineering to conduct thorough research to identify new and emerging hardware technologies that can enhance organizational efficiency and performance.
• Design and develop comprehensive hardware deployment plans and lifecycle processes that align with organizational goals and objectives.
• Oversee the implementation of hardware solutions, ensuring that deployments are completed on time, within budget, and meet quality standards.
• Gather feedback from end-users and stakeholders to identify areas for improvement and make necessary adjustments to hardware solutions.

Project Management
• Develop detailed project plans, including timelines, resource allocation, and risk management strategies for hardware deployment projects.
• Coordinate with cross-functional teams, including IT, procurement, business leaders, and operations, to ensure smooth execution of hardware deployment projects.
• Monitor project progress and provide regular updates to stakeholders, highlighting any potential risks or issues.
• Address and resolve any issues that may arise during hardware deployment projects, ensuring minimal disruption to business operations.

Financial and Budget Management
• Develop and manage hardware asset budgets, forecasts, and multi-year refresh plans.
• Partner with Finance to support budget vs actual analysis, accruals, and variance explanations.
• Provide financial insights to support decisions around lease vs purchase, refresh timing, and vendor strategy.
• Manage project budgets, ensuring that all expenditures are within allocated limits and that cost-saving opportunities are identified and implemented.
• Identify risks, gaps, and opportunities for cost optimization and process improvement.
Documentation and Reporting
• Maintain comprehensive documentation of hardware lifecycle processes, including project plans, vendor contracts, and performance reports.
• Generate regular reports on hardware lifecycle activities, vendor performance, and project outcomes, providing insights and recommendations to senior management.
• Produce regular and ad hoc reporting on asset counts, aging, refresh status, and spend.

Minimum Requirements
• Typically requires 7 years relevant experience.
• Experience with budget management/ownership required.

Critical Skills
• 7+ years of experience in IT hardware asset management, vendor management, or related roles with a strong focus on end user hardware.
• Deep understanding of end user hardware lifecycle management, inventory controls, and refresh strategies.
• Proven experience in managing complex hardware deployment projects, including project planning, execution, and monitoring.
• High attention to detail, ensuring that all hardware lifecycle processes are executed accurately and efficiently.
• Strong analytical and problem-solving skills with advanced Excel or equivalent reporting tools.
• Demonstrated leadership abilities, with the ability to motivate and manage cross-functional teams.
• Proven experience in vendor relationship management.
• Proven experience working with IT budgets, forecasting, and cost tracking.

Additional Skills
• Experience with hardware deployment and tracking tools and methodologies (ServiceNow, SCCM and InTune, JAMF).
• Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate with vendors, stakeholders, and team members.
• Time Management: Strong organizational and time management skills, with the ability to manage multiple projects simultaneously and meet deadlines.
• Adaptability: Ability to adapt to changing technology trends and organizational needs, and to implement new hardware solutions as required.

Education
• Education: Bachelor’s degree in Information Technology, Computer Science, or a related field OR equivalent experience. A master’s degree or relevant certifications (e.g., PMP, ITIL) are a plus
