Pay Range: $20 - $21/hour. Employee benefits include, but are not limited to, health insurance (medical, dental, vision), 401(k) plan, and paid sick leave (depending on work location).

Key Responsibilities:

  • Perform high-volume copying, printing, scanning, binding, and finishing services.
  • Operate and maintain copiers, mail machines, and other office production equipment.
  • Troubleshoot equipment issues, clear paper jams, and coordinate service requests when needed.
  • Handle incoming and outgoing mail, packages, faxes, and shipping/receiving activities.
  • Apply postage, sort and distribute mail, and maintain shipping records.
  • Provide hospitality support, conference room setup, and meeting room preparation.
  • Serve as backup receptionist and professionally greet visitors and clients.
  • Process electronic files, including scanning, OCR conversion, file naming, formatting, and document management tasks.
  • Assist with FTP file transfers and preparation of electronic documents for production.
  • Maintain inventories of office supplies and production materials.
  • Deliver completed projects and documents to designated locations.
  • Support records management activities, including filing, archiving, and document retrieval.
  • Maintain daily production logs, meter readings, billing records, and service documentation.
  • Assist with office moves, light maintenance, and other facility support functions as assigned.
  • Ensure quality control standards are met for all document production projects.
  • Interact professionally with attorneys, partners, associates, paralegals, legal secretaries, project managers, and executive-level clients.
  • Perform additional duties and special projects as assigned.

Key Requirements and Technology Experience:

  • Legal document production experience.
  • Reception and front desk support experience.
  • Shipping, receiving, and inventory management experience.
  • Strong problem-solving and troubleshooting abilities.
  • Experience working with executive-level clients and stakeholders.
  • Ability to meet tight deadlines while maintaining accuracy and quality.
  • Ability to lift up to 50 pounds.
  • Ability to stand and walk for extended periods throughout the workday.
  • Ability to operate office production and mailroom equipment safely and effectively.
  • High School Diploma or GED required.
  • Minimum 1 2 years of related office services, administrative support, mailroom, or document production experience required.
  • Minimum 2 years of experience in a legal office or legal services environment strongly preferred.
  • Strong customer service, interpersonal, and verbal communication skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Working knowledge of copiers, scanners, mail equipment, and related office technology preferred.
  • Knowledge of shipping and receiving procedures.
  • Basic equipment troubleshooting and repair experience preferred.
  • Familiarity with document management systems, OCR, electronic file processing, and workflow tools preferred.
  • Strong attention to detail and ability to handle highly confidential information.
  • Ability to read and understand technical manuals and written instructions.
