We are seeking a highly motivated and detail-oriented individual to join our growing legal team. The Legal Operations Ironclad (CLM) Administrator will work closely with the Associate General Counsel and business stakeholders at all levels of the company. As our Legal Operations Ironclad (CLM) Administrator, you will be key in creating processes and practices to improve the day-to-day efficiency and effectiveness of the legal, sales and finance teams.
The Legal Operations Ironclad (CLM) Administrator is responsible for providing expert-level technical support, implementation, and optimization of Ironclad software. This role involves working closely with cross-functional teams, including the legal, finance, procurement, sales and IT departments, to ensure successful deployment, integration, and maintenance of Ironclad's CLM solution.
To be qualified for this position:
Education:
o Bachelor's degree.
Experience:
o 2+ years of experience using, managing and implementing Ironclad contract management software.
o 2+ years of experience in technical support, software implementation, or a similar role.
o Expertise in handling the utilization and optimization of Ironclad within an organization.
o Proficiency in system integration, including API development and management.
o Experience with SharePoint, Salesforce, DocuSign and ServiceNow preferred.
Skills:
o Strong problem-solving and analytical skills.
o Excellent understanding of web technologies, databases, and system architecture.
o Ability to work independently and as part of a team in a fast-paced environment.
o Strong communication skills, with the ability to translate complex technical concepts into understandable terms for non-technical users.
o Exceptional training skills, including presenting in front of a large audience in-person and/or via Teams/Zoom. Experience creating training videos, training documentation and other materials for Ironclad end users.
o Knowledge of SharePoint, Salesforce, ServiceNow, DocuSign, CPQ, Zuora and Workday, and specifically implementation opportunities with Ironclad.
o Knowledge of legal operations and contract management processes.
Certifications (Optional):
o Certifications in Ironclad software or relevant technical areas (e.g., ITIL, PMP).
Key Responsibilities:
Implementation and Deployment:
o Lead and support the implementation of Ironclad software, including configuration, template customization, workflow creation and data migration.
o Serve as product owner for Ironclad workflows, including intake design, launch forms, conditional routing, approval logic, template updates, signature steps, archive steps, workflow testing, release management, and post-launch enhancements.
o Work with internal stakeholders to ensure timely and successful deployment of the Ironclad platform.
o Improve the utilization and optimization of Ironclad within the organization.
o Implement and manage the contract repository within Ironclad, including the transfer of historical contracts into Ironclad's repository.
o Support the continued development of Ironclad as the primary legal intake and contract workflow platform
Technical Support:
o Provide advanced technical support to end-users, troubleshooting and resolving issues related to the Ironclad platform.
o Collaborate with Ironclad's support team to escalate and resolve complex technical problems.
o Collaborate with internal business systems support to ensure integration with internal applications.
Integration and Customization:
o Assist in the integration of Ironclad with other enterprise systems through APIs and custom connectors.
o Develop and maintain custom workflows, templates, and forms within the Ironclad platform to meet organizational needs.
o Deep understanding of contract metadata, tagging, search, and repository reporting.
o Develop and maintain Ironclad reports, dashboards, scheduled reports, contract reminders, and operational metrics to support Legal leadership, workflow owners, user management, repository health, and adoption tracking.
Training and Documentation:
o Conduct training sessions for end-users and technical teams on Ironclad functionalities and best practices.
o Create and maintain technical documentation, including user guides, integration documentation, and troubleshooting guides.
System Optimization and Upgrades:
o Monitor system performance and work with IT teams to optimize the Ironclad environment.
o Manage and execute system upgrades, ensuring minimal disruption to users and alignment with business requirements.
o Maintain administrative access controls and documentation, including user roles, permission groups, administrator accounts, service accounts, shared mailboxes, integration credentials, API/token ownership, and related access-transfer procedures.
Collaboration and Communication:
o Work closely with legal, finance, procurement, and other business units to understand their needs and ensure Ironclad is configured to support business objectives.
o Communicate technical issues and solutions effectively to both technical and non-technical stakeholders.

Ironclad Admin:
- Looking for an Ironclad expert, not transferable skills. Not looking for other CLM platforms
- Ideal candidate: currently works at Ironclad, previously ironclad admin, prior consultant
- Not so much at the start, maintenance mode, need to train the sales team, recording explanation video, doesn't need to be an expert trainer, answering daily questions on workflow. Still building workflows and adding documents into the repository
- Implementing ironclad not as important, need experience building workflows. Updating workflows, integration with Sharepoint is done, currently doing salesforce integration (connector portion and familiar with SF), on roadmap integration with ServiceNow
- Client success managers from ironclad, more technical role
- 20% training answer questions, 20% building workflows, 20% integration activities, 20% updating repository and answering query questions, 20% miscellaneous issues
- Works with HR to hear about onboarding and offboarding with licenses
- Runs reports each week
- Ironclad has some out of the box training but need client specific on how to do guides and building those documents
Job Type & Location
This is a Permanent position based out of Jacksonville, FL.
Pay and Benefits
The pay range for this position is $120000.00 - $160000.00/yr.
