Summary


A global food manufacturer is seeking a Japanese Bilingual Assistant to support their Quality Assurance department by managing technical communications with their overseas manufacturing facilities. This role is primarily administrative and linguistic in nature, serving as the essential link between U.S. operations and international production teams to ensure product integrity and regulatory alignment.


The successful candidate will focus on the technical translation of quality standards and the administrative oversight of imported product documentation. They will ensure that all quality-related data from overseas plants is accurately translated, recorded, and compliant with both company and industry requirements.

Essential Duties and

Responsibilities include but are not limited to:



  • Provide accurate Japanese/English translation for quality manuals, product specifications, and technical reports to ensure alignment between local operations and Japanese HQ.

  • Serve as the primary point of contact for the Japanese quality department, facilitating the flow of information regarding facility audits and corrective actions.

  • Coordinate and document internal training sessions and assist with the administrative processing of quality-related invoices.

  • Organize and maintain supplier certifications, Certificates of Analysis (COA), and other critical production documents.

  • Partner with HQ to complete client questionnaires and assist with label registration involving relevant certification groups.

  • Manage the administrative side of third-party laboratory relations, including preparing sample submission forms and tracking report generation.

  • Update and distribute quality statements, policies, and sampling procedures for co-manufactured goods.

  • Assist in the collection and verification of retention samples and maintain professional correspondence with co-manufacturers.

  • Proactively notify the QA/QC Assistant Manager of any administrative bottlenecks or opportunities for process improvement.


Qualifications


To perform this job successfully, an individual must possess strong administrative acumen and the ability to translate technical concepts between Japanese and English accurately.


Required


  • Professional Business Japanese fluency (written and verbal) is essential for HQ communication and technical translation.

  • Bachelor's degree.

  • Exceptional organizational skills and a high level of professional etiquette for interacting with international stakeholders.


Preferred


  • Previous experience in Technical Translation or Administrative Support within a production or manufacturing environment.

  • 1-2 years of experience assisting a Quality Assurance or Production department.

  • Familiarity with food industry terminology or regulatory documentation.
