  • Monitor and manage material movement between various projects, warehouses, laydown yards, and field locations.
  • Ensure accurate documentation and traceability of material transfers between jobs, cost centers, and business units.
  • Maintain current records of material quantities, locations, condition, and usage status.

Field and Site Support
  • Work closely with field teams across multiple Texas locations to verify material deliveries, inventory levels, and site needs.
  • Conduct field visits to inspect material storage conditions, verify receipts, and resolve discrepancies.
  • Coordinate with contractors and site personnel to ensure proper handling, staging, and usage of materials.
  • Support field teams in identifying shortages, overages, damages, and missing materials.

Cross-Functional Interface
  • Act as liaison between project management, engineering, contractors, purchasing, accounting, business management, and vendors.
  • Collaborate with engineering teams to resolve specification changes, substitutions, and material-related technical issues.
  • Work with purchasing to monitor procurement status, expedite critical items, and support vendor communication.
  • Coordinate with accounting and business management to ensure proper material cost coding, accruals, inventory valuation, and financial reconciliation.

Vendor and Procurement Support
  • Interface with material vendors and suppliers regarding order status, shipment schedules, delivery issues, and returns.
  • Support procurement teams with expediting, discrepancy resolution, and documentation related to receipts and invoices.
  • Review packing slips, receiving documentation, and material status reports for accuracy and completeness.
  • Assist with identifying long-lead items and potential supply chain risks that may impact project execution.

Inventory Control and Reporting
  • Maintain organized and accurate material records in applicable tracking systems, spreadsheets, or enterprise platforms.
  • Prepare regular reports on material status, shortages, transfers, surplus, and inventory balances.
  • Reconcile received materials against purchase orders, invoices, and project requirements.
  • Support audits and internal controls related to inventory, material usage, and project cost tracking.

Issue Resolution and Continuous Improvement
  • Investigate and resolve material discrepancies, damaged shipments, missing items, invoicing mismatches, and transfer issues.
  • Identify opportunities to improve material tracking, communication, and coordination processes across projects.
  • Promote consistent material management practices across all supported field locations.
  • Assist in the development and implementation of procedures, standards, and best practices for material management.

Required Qualifications

  • Experience supporting multiple projects and coordinating material movement across field locations.
  • Strong understanding of procurement, receiving, inventory control, and material reconciliation processes.
  • Experience working with project teams, contractors, vendors, and cross-functional business groups.
  • Proficiency in Microsoft Office Suite, especially Excel, inventory systems, or project management platforms preferred.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work independently and manage competing priorities across multiple locations.

Preferred Qualifications
