Our client is conducting a Confidential Search for an experienced Executive Administrative Assistant to support C-level leadership in Burlington, NJ. This in-person role will manage executive schedules, communications, and administrative operations in a fast-paced environment.
The position will also assist with legal documentation and basic accounting support, including contract organization, invoicing, and expense tracking.
The ideal candidate has 3+ years supporting senior executives, strong organizational skills, discretion, and proficiency in Microsoft Office. Experience with contract management, paralegal support, or QuickBooks is a plus.
Position Overview:
Reports to: CEO, President, and other C-Level Executives
Experience with legal documentation and basic accounting processes is a plus.
Key Responsibilities:
- Manage executive calendars, meetings, and appointments
- Prepare and edit reports, presentations, and correspondence
- Coordinate executive travel and itineraries
- Handle confidential communications and sensitive information
- Legal & Administrative Support
- Assist with legal research, contract organization, and document preparation
- Maintain legal files including leases, agreements, and compliance records
- Accounting Support
- Assist with invoice tracking, expense reporting, and basic bookkeeping
- Support account reconciliation and financial reporting tasks
- Office & Project Coordination
- Serve as a point of contact for internal and external communications
- Maintain office supplies and coordinate vendors and service providers
- Organize meetings, company events, and special projects
- Track project timelines and provide follow-up with internal teams
Qualifications:
- Bachelor’s degree preferred or equivalent experience
- 3 years supporting senior executives in a fast-paced environment
