Imaging Specialist – Document Control Center
Overview
We are seeking a detail-oriented Imaging Specialist to support the daily operations of our Document Control Center. This role is responsible for managing incoming and outgoing documentation, ensuring accurate scanning and indexing, and maintaining secure, compliant records. The ideal candidate thrives in a fast-paced environment, has strong organizational skills, and is comfortable working with document management systems and imaging equipment.
Key Responsibilities
· Process and manage incoming mail, including sorting, preparing, scanning, and indexing documents
· Maintain accurate and secure records in accordance with data privacy and regulatory requirements
· Support internal teams (e.g., underwriting and claims) by ensuring timely document processing and retrieval
· Conduct research and resolve more complex member information inquiries using internal systems
· Determine appropriate indexing and classification for a variety of document types
· Assist with outgoing mail and internal document requests
· Perform routine maintenance and basic troubleshooting of imaging equipment
· Maintain logs, reports, and spreadsheets; support general administrative tasks
· Create, update, and follow documented procedures for daily operations
· Participate in audits and ensure adherence to document management standards
· Cross-train and mentor team members to support overall team efficiency
Qualifications
· 2+ years of experience in an office, clerical, or document processing role
· Experience with document imaging systems, data storage tools, or records management
· Strong attention to detail and organizational skills
· Ability to manage multiple priorities in a fast-paced environment
· Proficiency with Microsoft Office (Excel, Word, Outlook)
· Strong communication and collaboration skills
Preferred:
· Associate degree or some college coursework
· Experience in the insurance or financial services industry
· Familiarity with regulatory and data privacy requirements
· Typing speed of 45+ WPM
