Overview

A unit at the heart of Yale's mission, the Faculty of Arts and Sciences (FAS) comprises 1000+ faculty and 40 departments and programs. The FAS Dean's Office (FASDO) supports the FAS Dean in shaping the quality of faculty and departments through hiring, mentoring, promotions, retentions, and compensations, as well as departmental staffing, budgeting, and strategic planning.

Reporting to the Associate Director, Data and Operational Analysis, the Data and Operational Analyst is a vital member of the FAS Dean's Office, contributing to FAS's research, education, and organizational excellence. This position will work closely with members of FASDO, including associate deans and senior leaders, to provide analytical support to inform data-driven decisions. They will work in the following primary areas of focus:

Data Analytics: This position transforms data into meaningful insights that inform decision-making at both the unit and senior leadership levels. The Data and Operational Analyst will collaborate with administrators to refine research questions, identify relevant data, conduct analyses, and prepare and present reports. Analyses may include working at the intersection of operational and academic sides of FAS.

Financial Analysis: The role supports a variety of duties including monthly reconciliations and strategic ad hoc projects. This includes the development of complex financial models that draw from diverse institutional data sources. Collaborating with operational units, the analyst will gather key assumptions, iterate on model design, and deliver clear projections - such as revenues, expenses, and funding implications - that guide planning efforts. Strong communication skills are essential, as the Data and Operational Analyst must translate complex data into insights that can be readily understood by both technical and non-technical audiences.

Project Management: Under the supervision of the Associate Director, the Data and Operational Analyst will assist in managing projects that align with FAS's strategic vision, overseeing planning, execution and completion of projects while offering programmatic support and tracking progress post-completion. This person will maintain flexibility while organizing, driving, and implementing data-related projects and strategic initiatives. They will facilitate the creation and documentation of new or revised policies and procedures related to process improvement.

Consultation and collaboration: Work closely with subject matter experts and client groups for projects/programs to conduct analysis, identify key business objectives and solutions, and support strategic decision-making and forecasting. Collaborate with stakeholders to establish vision, analyze costs and benefits, and support implementation of plans.

The Data and Operational Analyst, FAS will:
  • Access and collect relevant data from multiple University data sources.
  • Organize, manage, and ensure the integrity of complex data sets.
  • Participate in data collection, conduct analyses, and create visualizations to present findings.
  • Improve data pipelines, integrate data platforms, provide technical support while collaborating with stakeholders.
  • Coordinate data management for various projects and support research with statistical tools.
  • Communicate insights through visualization tools.
  • Develop and document operational procedures for the collection, editing, verification, and management of study data. Document all study data files, data structure and relationships, variable definitions, and data codes. Write detailed specifications for analysis files and perform consistency checks.
  • Design and implement quality control measures to ensure accurate collection and processing of data. Maintain the integrity of databases used in analyses through essential data cleaning, checks, and data back-ups.
  • Financial modeling and analysis: Provide specialized technical analysis to determine present and future financial performance. Organize and analyze information from a variety of sources to create data banks, develop, and execute multi-variable complex financial models. Guide and collaborate with all levels of management, internally and externally, to prepare and present financial forecasts and recommendations. Research and evaluate information to resolve issues and influence decisions.
  • Financial methods and systems: Influence, plan, and design methods to improve practices, processes, and systems. Lead partnerships with internal and external contacts to execute departmental and institutional level goals. Provide a high level of service to maintain strong working relationships and effective communication, taking ownership and accountability for timeliness, accuracy, and relationship management.
  • Strategic resource and risk management: Translate department finance strategies into goals, identify potential opportunities, issues, risks, ideas, and solutions. Employ judgment and expertise in stakeholder consultation and communications, maintaining strong internal controls for resource use and compliance with policies and regulations.
  • Data management and statistical programs: Develop and implement relevant statistical programs to incorporate data from multiple studies and projects. Gather, receive, and interpret data, conduct research, data analysis, modeling, and scenario analyses. Evaluate data from multiple sources to support conclusions and recommendations. Ensure the accuracy and integrity of data and databases through quality control measures.
  • Communication and reporting: Prepare and clearly communicate materials, reports, and presentations using both text and graphics. Organize and create documents and tables related to datasets, perform descriptive and multivariate statistical analyses, and develop necessary tools and workshops to identify and evaluate business solutions.

The current hybrid schedule for this fixed-duration position is four days on campus and one remote day per week. If operational needs require a temporary or permanent shift to a five-day on-campus schedule, the hybrid arrangement will be suspended for the duration of that requirement.

Required Skill and Abilities

1. Analytical acumen: Ability to analyze large data sets, recognize patterns to draw logical conclusions, and make recommendations with strong attention to detail. Demonstrated advanced analytical skills and problem-solving skills. Demonstrated experience creating effective data visualizations/dashboards using business intelligence tools and data warehouse tables. Expertise in interpreting data, coding structures, and business requirements.
2. Communication: Commitment to pairing effective data communication with rigorous research and design. Ability to communicate effectively (written, interpersonal, and group), translating technical information to non-technical audiences to stakeholders at all levels, including administration, faculty, staff, students, and external constituents. Sensitivity to confidentiality with the ability to exercise sound judgment, tact, and discretion. R
3.Technical proficiency: Advanced skills in Microsoft Office suite (Excel, Access, Word, Project, Outlook, PowerPoint) and working knowledge of ERP systems. Experience with data models, reporting packages, and higher education database tools (e.g., Microsoft SQL Server, T-SQL) and data visualization software (e.g., Tableau, Power BI). Skilled in using advanced Excel functionalities (PowerQuery, PowerPivot) and coding languages (e.g., R, Python) for data cleaning, analysis, and visualization.
4.Research and strategy: Strong research skills, including quantitative and qualitative analysis of internal and external data to support business improvement strategies. Proven ability to develop and execute business strategies and improvement plans. Proven ability to create and manage large, complex data sets from disparate sources, ensuring data quality for statistical analysis and data management. Exceptional reporting and analytical skills, including interpreting data, coding structures, and business requirements to support strategic decision-making and forecasting.
5.Collaboration and teamwork: Proven ability to work independently and collaboratively in diverse, cross-functional teams with limited guidance. Ability to solicit differing opinions to ensure understanding of complex issues, build trust, and maintain strong relationships. Demonstrated ability to work independently to meet deadlines. Project and Time Management: Proven ability to handle multiple tasks, prioritize, and follow through on projects. Adaptability to changes in work priorities, weighing multiple factors, seeking alternatives and creative solutions. Strong organizational and problem-solving skills.

Preferred Skills and Abilities

1. Proven working experience as a data analyst or business data analyst.
2. Technical experience regarding data modeling, database design and development, and data mining techniques.
3. Experience with business intelligence (BI) tools such as Power BI, Tableau, or similar platforms for data visualization and reporting.

Principal Responsibilities

Evaluates data gathered from multiple sources in order to support the issues, conclusions and recommendations. 5. Analyzes data with standard methods, interprets the results, and provides written summary and reporting of analysis. 6. Develops and validates queries for the successful extraction of appropriate data. 7. Develops and maintain documentations and libraries on key processes. 8. Ensures accuracy to maintain the high quality and integrity of information, data and databases. 9. Contributes to the development of unit and/or University plans and strategies. Researches, gathers data and provides recommendations. 10. Collaborates with key stakeholders and subject matter experts to establish the vision, analyze costs and benefits and support implementation. Ensures strategic and tactical plans are carried out. 11. Communicates effectively the perspective of business opportunities, needs, and risks. 12. May perform other duties as assigned.

Required Education and Experience

Bachelor's Degree in a related field and four years of related experience or equivalent combination of education and experience.
