Role Summary
A managerial position within the Health Information Department overseeing daily operations, system management, and compliance processes. This role involves strategic planning, performance monitoring, staff supervision, and collaboration with various departments to ensure accurate, complete, and timely management of patient medical records in accordance with regulatory standards. The manager plays a critical role in optimizing health information workflows and supporting organizational compliance initiatives.
Responsibilities
- Plan, direct, and oversee Health Information Management (HIM) department functions across multiple locations, including legal medical records, record completion, and release of information, ensuring efficient and compliant operations.
- Monitor daily departmental activities, update policies, and procedures to maintain compliance with hospital, federal, state, and regulatory agency requirements.
- Represent the department at meetings and establish effective working relationships with medical staff and other hospital departments to enhance service delivery.
- Coordinate and support workflows and processes to improve efficiency and meet clinical and operational needs.
- Collaborate with information technology and other departments on electronic content development, data standards, medical record integrity, and documentation accuracy.
- Identify workflow inefficiencies and implement process improvements, participating in medical record conversion and storage projects.
- Supervise staff recruitment, onboarding, scheduling, performance evaluations, coaching, and disciplinary actions in accordance with HR policies.
- Adjust staffing levels as necessary, promote cross-training, and support staff development through ongoing education and feedback.
- Monitor workflow and productivity to achieve turnaround times and departmental goals.
- Prepare and review statistical, productivity, and performance improvement reports to support quality initiatives and performance management.
- Act as a resource and liaison for the Department of Health Information, engaging with internal and external stakeholders, including participating in meetings and organizational activities.
- Oversee the release of information process, ensuring timely responses to legal requests and subpoenas, and delegate responses as required.
- Manage departmental supplies and resources to maintain operational efficiency.
Qualifications
- Minimum of 5 years management experience in health information or related healthcare setting.
- Bachelor''s degree in Health Information, Health Information Management, or a related field.
- Advanced knowledge of electronic health record (EHR) systems, including implementation or optimization.
- Proficiency with health information systems, healthcare applications, and computer applications relevant to medical records management.
- Solid understanding of HIPAA, Joint Commission standards, CMS regulations, and other federal and state healthcare compliance requirements.
- Basic knowledge of medical coding and documentation compliance standards.
- Experience with legal medical record requirements and release of information procedures, including subpoena responses.
- Strong interpersonal, communication, and presentation skills for interacting with physicians, staff, and stakeholders.
- Leadership skills with the ability to coach, mentor, and develop staff.
- Analytical skills to interpret data, identify trends, and drive process improvements.
- Effective multitasking, organization, and workload management skills.
Publishing Pay Range: $72,000.00 - $82,000.00 annually
