Hourly Rate: W2 $35 - $44/hour | Salary: $60,000 - $70,000/year

Overview:

We are seeking an Office Administrator / Receptionist who will support our Albany NY client. This fully onsite role serves as the face of the office, providing front desk, visitor management, office coordination, and administrative support for a large project office of up to 200+ staff. The selected candidate will help maintain a professional, secure, organized, and client-ready office environment while supporting project leadership, staff, guests, and vendors.

Duties:
  • Provide administrative support for up to 200+ staff occupying the project office.
  • Manage reception for visitors and guests, including greeting clients, vendors, and visitors, issuing visitor badges, maintaining visitor logs, and escorting confirmed guests when needed.
  • Enforce standard office security procedures, manage security badging accessibility, issue temporary visitor passes, assist staff with badge issues, and maintain badge inventory.
  • Manage incoming and outgoing mail and packages and submit maintenance requests to building management as needed.
  • Operate workspace reservation software to manage conference room bookings and support office calendar coordination.
  • Monitor and manage office supply inventory, replenish office and kitchen supplies, and maintain refreshment equipment in serviceable and clean condition.
  • Maintain legal postings and support adherence to health and safety code policies and procedures as defined by Deloitte, the client, and building management.
  • Address and triage building maintenance and technology-related requests and coordinate project-wide facility, health, and safety announcements with the PMO.
  • Coordinate meetings for project leadership, including 3-5 Deloitte Partners and Managing Directors, and support conferences or department meetings as needed.
  • Order and facilitate catered meals and coordinate logistics for office functions, meetings, conferences, entertainment, receptions, and dinner arrangements with minimal direction from project leaders.


Mandatory Qualifications:
  • 2-5 years of receptionist experience.
  • 3+ years of work experience as a receptionist for a large office or as an administrative assistant supporting high-level executives or C-suite executives.
  • Must be able to work fully onsite Albany, New York, Monday through Friday, 8:00 AM-5:00 PM, totaling 45 hours per week.
  • 2+ years’ experience with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Excellent interpersonal and communication skills with the ability to provide exceptional customer service to Deloitte staff and clients.
  • Ability to anticipate problems, take initiative, prioritize, multi-task, and demonstrate excellent time management.
  • Ability to work well in a team environment and adapt to new procedures, sudden schedule changes, or rapidly evolving project requirements.

Desirable Qualifications:
  • Ability to coordinate complex meeting logistics across time zones, book meeting rooms, anticipate conflicts, and resolve them proactively.
  • Experience supporting large project offices, professional services environments, or executive leadership teams.
  • Experience coordinating office functions, catered meals, conferences, receptions, and other event logistics.
