Technical Writing Specialist

Position Summary

We are seeking a Technical Writing Specialist to develop, maintain, and communicate IT governance, technical, operational, compliance, and organizational documentation. This role will serve as a key liaison between technical teams, business stakeholders, executives, employees, and external vendors, translating complex technical information into clear, concise, and user-friendly content.

The Technical Writing Specialist will also lead IT communications, support organizational change initiatives, coordinate technology projects, develop training and end-user materials, and contribute to IT governance and compliance efforts.

Key Responsibilities

  • Develop, maintain, and communicate IT governance policies, standards, procedures, and compliance documentation, ensuring alignment with organizational objectives, IT best practices, and applicable security and compliance requirements.

  • Gather and analyze information from technical teams, business stakeholders, executives, and end users to translate complex technical requirements and processes into clear, concise, and user-friendly documentation.

  • Develop and maintain Standard Operating Procedures (SOPs), Process Guides, Quick Reference Guides (QRGs), workflows, FAQs, training materials, and other technical and administrative documentation supporting IT operations and organizational initiatives.

  • Draft and distribute companywide IT communications, newsletters, technology announcements, change-management materials, and reference documentation to improve organizational awareness and understanding of technology initiatives and changes.

  • Collaborate with technical and non-technical stakeholders to document business processes, technical procedures, system changes, operational requirements, and technology solutions in a manner accessible to diverse audiences.

  • Develop and deliver training materials and technology awareness content to support user adoption, organizational change, and consistent implementation of IT processes and procedures.

  • Prepare executive-level briefings, status updates, and presentation materials, translating technical information into business-focused content for senior leadership, including the CEO, C-suite executives, department leaders, and Board of Directors.

  • Serve as a liaison between technical teams, business leadership, employees, and external vendors, facilitating communication and ensuring that technical issues, requirements, project status, and proposed solutions are clearly understood by all stakeholders.

  • Manage and coordinate organization-wide technology projects, including office moves, technology refreshes, onboarding initiatives, infrastructure activities, and other IT projects, ensuring requirements, deliverables, timelines, and stakeholder communications remain aligned.

  • Establish and enforce change-control procedures and documentation practices, ensuring technology changes and system transitions are appropriately documented and communicated to affected stakeholders.

  • Lead the IT Communications function and coordinate the development, review, and distribution of technology-related communications and supporting materials.

  • Develop documentation and communications supporting organizational change initiatives, including change-management guides, workflows, FAQs, training materials, and end-user reference materials.

  • Collaborate with internal and external technical teams to document cloud services, Microsoft 365, SharePoint, Azure, infrastructure, disaster recovery, and other technology environments, translating technical information into practical documentation for business users.

  • Monitor operational performance, customer feedback, and service issues and provide status reporting and recommendations for process and service improvements to leadership.

  • Maintain strong working relationships with executives, department leaders, technical staff, employees, and external stakeholders, requiring effective communication and collaboration across multiple organizational levels.

  • Develop and maintain IT policies, standards, and compliance frameworks and support organizational compliance initiatives, contributing to a 9.9 NIST compliance score through structured governance and audit practices.

  • Supervise and mentor IT personnel and coordinate knowledge sharing, training, documentation, and performance-management activities to promote consistent service delivery and adherence to established processes.

Ideal Candidate Profile

The ideal candidate will be a strong technical communicator who can operate comfortably across IT, business, and executive environments. They should be able to understand complex technical concepts and convert them into documentation and communications that are clear and actionable for both technical and non-technical audiences.

Experience with IT governance, compliance, NIST, Microsoft 365, SharePoint, Azure, change management, technical documentation, and executive-level communications is highly valuable.
