We are seeking an experienced Solutions Architect – AI & Automation to design and build intelligent, scalable solutions that combine agentic AI, voice AI, conversational AI, automation, CRM/ERP systems, scheduling platforms, APIs, and cloud technologies.
The ideal candidate has hands-on experience architecting AI-powered customer-facing solutions—not simply using AI tools. This includes designing systems that can answer phone calls, manage SMS and web chat conversations, retrieve customer information, check calendars, schedule appointments, collect intake information, update CRM records, trigger workflows, and escalate conversations when human assistance is needed.
The successful candidate should understand how these solutions are built for real-world businesses, particularly small and mid-sized businesses such as salons, accounting firms, professional practices, and local service providers.
Key Responsibilities
- Design and architect AI-powered front-desk and customer-engagement solutions that can operate across phone, SMS, web chat, and other communication channels.
- Design agentic AI workflows capable of:
- Answering inbound phone calls using natural-language voice AI.
- Handling two-way SMS and web-chat conversations.
- Answering business-specific FAQs.
- Collecting customer and client intake information.
- Verifying or retrieving customer/account information.
- Checking real-time calendar and appointment availability.
- Booking, rescheduling, and canceling appointments.
- Sending automated SMS confirmations and follow-ups.
- Updating CRM, ERP, practice-management, or scheduling systems.
- Qualifying leads and determining when a conversation should be escalated to a human.
- Architect integrations between AI agents and platforms such as Google Calendar, Cal.com, Calendly, CRM systems, ERP systems, contact-center platforms, practice-management systems, scheduling platforms, and other business applications.
- Design API-based integrations using REST APIs, webhooks, middleware, and other integration technologies.
- Build architectures that allow AI agents to retrieve and use real-time business information rather than relying solely on static responses.
- Design AI solutions that can perform database and business-system lookups during live customer interactions.
- Develop architectures for industry-specific workflows, including appointment-based businesses, professional services, accounting firms, salons, spas, and local service providers.
- Evaluate whether a turnkey AI receptionist, unified CRM/automation platform, vertical software solution, or custom AI infrastructure is the appropriate solution for a business.
- Design solutions using no-code/low-code AI platforms when appropriate while also understanding when a custom architecture is required.
- Integrate AI systems with existing telephony, CRM, scheduling, payment, customer-service, and business-management environments.
- Design secure workflows for handling customer information, account information, intake data, and other potentially sensitive business data.
- Collaborate with developers, project managers, business stakeholders, and vendors to move solutions from concept through implementation.
- Create architecture diagrams, technical specifications, integration documentation, workflow designs, and implementation roadmaps.
- Conduct technical evaluations and proof-of-concept implementations.
- Identify technical risks, dependencies, scalability issues, security concerns, and integration limitations.
- Establish reusable architecture patterns for deploying AI and automation solutions across multiple businesses or business environments.
Required Qualifications
- Bachelor''s degree in Computer Science, Information Technology, Engineering, Business Technology, or a related field; equivalent professional experience may be considered.
- 7+ years of experience in solutions architecture, software engineering, systems integration, automation, cloud architecture, or a related technical field.
- Demonstrated professional experience designing and implementing Artificial Intelligence and/or Machine Learning solutions.
- Hands-on experience building or architecting conversational AI, voice AI, AI agents, agentic AI, or intelligent automation solutions.
- Demonstrated experience integrating AI solutions with business applications and real-time data sources.
- Strong experience with APIs, webhooks, system integrations, and workflow automation.
- Experience integrating with CRM, ERP, scheduling, contact-center, practice-management, or customer-service platforms.
- Experience designing solutions involving phone/voice, SMS, web chat, or other conversational channels.
- Experience integrating scheduling/calendar systems such as Google Calendar, Calendly, Cal.com, or comparable platforms.
- Experience with at least one major cloud platform such as AWS, Microsoft Azure, or Google Cloud.
- Ability to translate business requirements into technical architecture and implementation plans.
- Strong understanding of data flows, application architecture, security, scalability, and integration patterns.

What Success Looks Like
The successful candidate can take a business scenario such as a nail salon, boutique accounting firm, or local service provider and architect a complete AI front-desk solution.
For example, a customer calls after business hours. The AI agent answers the call, understands what the customer needs, checks the appropriate calendar or business-management system, identifies available appointments, books the appointment, collects the customer''s information, updates the appropriate CRM or system of record, and sends an SMS confirmation—all while knowing when the interaction requires human intervention.
The candidate should be able to determine whether that solution should be built using a turnkey AI receptionist, CRM/automation platform, industry-specific software, or customizable voice-AI infrastructure, and then design the integrations required to make the solution work reliably.
The goal is not simply to deploy an AI chatbot. The goal is to build AI agents that can actually interact with business systems and perform useful work.
