JOB DESCRIPTION:

Required Qualifications:

  • Bachelor's degree from an accredited university is preferred.

  • Knowledge of human resources practices, including recruitment, onboarding, employee relations, and compliance.

  • Understanding of essential HR functions and best practices.

  • Superior written and verbal communication skills, especially when communicating with parents, teachers, administrators, and students.

  • Strong organizational and time management skills with the ability to prioritize multiple tasks and deadlines.

  • High level of confidentiality and professionalism when handling sensitive information.

  • Strong technology skills and experience learning new technology platforms.

  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

  • Experience with HRIS systems.

  • Ability to maintain accurate records and manage personnel documentation.

  • Strong attention to detail and problem-solving abilities.

  • Excellent project management and organizational skills with an ability to meet deadlines.

  • Customer service mindset with the ability to support employees at all levels.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Familiarity with employment laws and HR compliance requirements.

  • Maintain a professional image and provide excellent customer service.

  • Well-developed collaborative work style and positive attitude.

  • Ability to adapt to changing priorities, demands, and a variety of challenges.

  • May work at a desk and computer for extended periods.

  • Occasional evening and weekend work may be required.

Preferred Qualifications:

  • Experience supporting senior leadership, boards, or executive-level staff.

  • Experience in an educational or school environment is a plus.

Key Responsibilities:

Human Resources

  • Assist with the hiring process in conjunction with the Director of Finance and Human Resources and Head of School.

  • Prepare employment agreements and communicate with new employees regarding new hire paperwork.

  • Create and maintain employee records.

  • Communicate and coordinate with other departments on onboarding and offboarding.

  • Assist with onboarding employees to all school benefits.

  • Maintain and ensure accurate posting of all California labor law notices.

  • Maintain and update job descriptions for all positions.

  • Maintain Form I-9 documentation and conduct annual audits of records.

  • Work with an offsite storage vendor to maintain confidential paper files.

  • Manage the HRIS system and make updates as needed.

  • Assist the Department of Finance and Human Resources and Controller with employee enrollment in school benefits and related HR processes.

Head of School & Director of Finance and Human Resources Support

  • Support the Head of School with project management, as needed.

  • Provide administrative and operational support to the Director of Finance and Human Resources.

  • Assist with ad hoc projects and other responsibilities as assigned.

Board of Trustees Support

  • Manage and schedule all Board of Trustees meetings, including committee meetings when needed.

  • Coordinate with Administrative staff who attend Board meetings.

  • Attend all Board meetings.

  • Document key discussions and track follow-up and action items.

Business Office and School Support

  • Assist the Director of Finance and Human Resources with Business Office operations.

  • Assist with student-facing duties and provide student supervision on campus, as needed.

  • Provide front desk support and duties as needed.

  • Perform additional responsibilities as assigned to support the Client's operations and mission.

Description:

The Client seeks a qualified candidate to be the HR Associate and Executive Assistant who will provide support to the Head of School, the Board of Trustees, and the Director of Finance and Human Resources. As the delegate for the Head of School and Director of Finance and Human Resources, the Executive Assistant will work in the following areas: Human Resources, Board of Trustees management, and Head of School support.

Overview:

The HR Associate and Executive Assistant will provide support to the Head of School, Board of Trustees, and Director of Finance and Human Resources. This position will support Human Resources operations, Board of Trustees management, executive support, Business Office activities, and general school operations.

The position requires strong organizational, communication, technology, and project management skills, along with a high level of confidentiality and professionalism. The successful candidate will be able to work independently and collaboratively in a fast-paced environment while managing multiple priorities and deadlines.
