Summary

We are looking for a Administrative Support for our client in Santa Clara, CA
Job Title: Administrative Support

Job Type: Contract
Job Overview:
Pay Range: $32.60hr - $37.60hr

Requirement/Must Have:

  • Proficiency in Excel, including Pivot Tables, VLOOKUPs, and charting.
  • Strong business writing and documentation skills.
  • Experience with project tracking tools such as Smartsheet, Jira, or Trello.
  • Advanced knowledge of O365 tools, including SharePoint and Teams.
  • Strong coordination and scheduling skills across time zones.
  • Excellent communication and stakeholder management skills.
  • Strong attention to detail and ability to follow through on tasks.

Experience:

  • Minimum 5+ years of experience in administrative, operations, or project support roles.
  • Experience working in corporate environments supporting cross-functional teams.

Responsibilities:

  • Coordinate with global stakeholders to track action items and ensure project milestones are met.
  • Manage meetings, including scheduling, agenda preparation, and documentation of minutes.
  • Support creation and editing of marketing materials, newsletters, and internal communications.
  • Consolidate and analyze departmental data to identify trends and patterns.
  • Maintain dashboards to track team performance and KPIs.
  • Prepare data visualizations and summary reports for decision-making.
  • Organize and facilitate team events and meetings to improve communication and engagement.
  • Manage documentation pipelines and ensure version control.
  • Perform additional administrative and operational tasks as assigned.

Should Have:

  • Experience with data visualization tools such as Tableau or Power BI.
  • An analytical mindset with the ability to interpret data trends.
  • Strong organizational and time management skills.
  • Prior experience in similar global or customer success environments preferred.
