Work Location: Bethesda, MD
Work Schedule: 100% On-Site
Hourly Pay Rate: $56/hr. W2. Benefits available
Conversion Salary: $112,000/yr. Plus benefits
Must be eligible to obtain a federal suitability clearance
System One is seeking a highly motivated, self-directed individual to fill the role of Executive Administrator to support a federal end-customer in Bethesda, MD. The selected individual will join a collaborative team environment where they will provide expertise and guidance for project leadership. The Executive Administrator plays a key role in client relations, working as the primary point of contact.
RESPONSIBILITIES:
The contractor shall support all activities in support of OCIO Executives with the following tasks:
- Schedule and maintain the calendars for the Chief Information Officer (CIO), Deputy CIO, Chief Information Security Officer (CISO), and Deputy CISO
- Track actions/data calls needing the Chief Information Officer (CIO), Deputy CIO, Chief Information Security Officer (CISO), and Deputy CISO signature(s)
- Staff the OCIO Leadership Team meetings, including capturing meeting actions
- Coordinate daily calendars of executive leadership for OCIO
- Plan and facilitate appointments and events
- Act as the point of contact between executive leadership and employees/clients
- Create regular reports and update internal databases
- Make travel arrangements
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information, and referring non-routine calls to the appropriate staff
- Respond promptly to managers’ queries
- Facilitate internal communication (e.g., distribute information and schedule presentations)
- Serve as ITAS timekeeper
- Serve as SAAVI liaison; Receive email notifications for tasks, acquire task assignments, summarize assigned tasks, and forward tasks with the required action to designated Reviewers.
- Suggest more efficient ways to run the office and troubleshoot malfunctions
- Keep a tracker for review with the leadership team.
QUALIFICATIONS:- Bachelor’s degree
- 5+ years of related experience required in working in an executive assistant role supporting C-level executives
- Advanced proficiency in Microsoft Office (Teams, Outlook, Word, Excel, and PowerPoint) and other communications platforms (e.g., Zoom)
- Ability to communicate effectively and professionally
- Excellent organizational skills with an ability to think proactively and prioritize work
- Familiarity with online calendars, cloud systems, and ERPs
