Project Overview: Planview Portfolios Implementation
Our organization currently supports project and portfolio management across 30 IT areas and 11 Business PMOs, using 50+ tools that are poorly connected from a data and workflow perspective. This fragmented environment has resulted in inconsistent data, significant manual effort, and limited visibility across portfolios. We are changing that. We are implementing Planview Portfolios as our new enterprise Project and Portfolio Management (PPM) solution to standardize how work is requested, planned, managed, and reported across the organization.
This implementation will:
• Consolidate tools and processes into a single PPM platform
• Improve data consistency and portfolio visibility
• Reduce manual effort and streamline workflows
• Enable better decision making and alignment across IT and business teams
Role of the OCM Lead:
The OCM Lead will support the successful implementation of Planview Portfolios by driving change management activities that enable adoption and effective use of the new solution. This role will partner with and need to influence senior leaders and IT and Business PMOs to support readiness, communication, training, and transition from legacy tools and processes during implementation. The OCM Lead ensures that change is adopted, embraced, and sustained—so the program delivers real business value, not just completed tasks for the Planview Program that is already in motion.
We are seeking an experienced Organizational Change Management (OCM) Lead (Contractor) to support enterprise program initiatives, with a focus on driving successful adoption during major change implementations. This role will serve as a hands-on change implementor, supporting local and cross-functional initiatives that introduce new processes, systems, tools, and operating models. The OCM Lead ensures the people side of change is planned and executed so programs achieve adoption—not just delivery.
In this assignment, the OCM Lead will partner closely with program leadership, PMOs, and impacted teams to define and execute an OCM approach that improves readiness, reduces resistance, and enables a smooth transition through implementation and go-live. The role requires the ability to influence across multiple layers of management, facilitate alignment among diverse stakeholders, and effectively challenge assumptions in a fast-paced and sometimes ambiguous environment.
Day-to-Day Responsibilities include:
• Develop and execute change strategies and plans aligned to program timelines, including methodology, governance, and success metrics with a program already in flight.
• Conduct stakeholder mapping, impact assessments, and readiness activities to identify change risks and mitigation strategies.
• Lead communication planning and delivery, including targeted messaging, leadership talking points, FAQs, and end-user materials. Demonstrated experience with effective communication to varying levels of leadership.
• Information Gathering & Facilitation - Able to craft and review clear, role based OCM materials (change messaging, personas, FAQs, job aids) intended for delivery by PMs or leaders.
• Partner with the training leads to connect personas to curriculum planning, content development or review, and training logistics.
• Support implementation and go-live readiness; track adoption and usage indicators, identify gaps, and partner with leaders to course-correct.
• Evaluate performance and quality within assigned areas and recommend continuous process improvements using industry best practices and/or compliance standards.
• Create, coordinate, and maintain multiple processes and toolsets while enforcing standard ways of working.
• Conduct post-implementation reviews and develop metrics to measure success and sustainability.
• Act as an escalation point for analysis questions and create/share analysis templates and methods.
• Leverage strong relationship-building and negotiation skills to align cross-functional stakeholders toward common goals.
Required Skills:
• Proven experience applying Organizational Change Management methodologies (e.g., Prosci/ADKAR or equivalent).
• Strong communication skills with the ability to tailor messaging to executive, management, and practitioner audiences.
• Demonstrated ability to influence across functions and organizational levels to drive decisions and adoption.
• Strong planning and execution capabilities within complex program environments.
• Analytical skills to assess impacts, identify risks, and develop mitigation and adoption strategies.
Preferred Skills:
• Experience supporting Planview Portfolios or similar enterprise Project and Portfolio Management (PPM) tool implementations.
EDUCATION AND/OR EXPERIENCE:
- Bachelor's Degree or higher in a Business or Technical discipline (e.g., Computer Science, Software Engineering, Math) and a minimum of six years of work experience in technical infrastructure, IT Process design/process improvement or IT Project Management positions
- In lieu of a Bachelor's degree, a minimum of eight years of related work experience in technical infrastructure, IT process design/process improvement or IT project management position.
