An Executive Assistant (EA) provides high-level administrative and strategic support to senior executives, ensuring smooth business operations and effective time management.
Key Roles & Responsibilities
1. Calendar & Schedule Management
1. Manage executive calendars and appointments.
2. Coordinate meetings, conferences, and events.
3. Prioritize schedules and resolve conflicts.
2. Communication Management
1. Screen and manage emails, phone calls, and correspondence.
2. Draft and prepare professional communications.
3. Act as a liaison between executives and internal/external stakeholders.
3. Meeting Coordination
1. Schedule and organize meetings.
2. Prepare agendas, presentations, and meeting materials.
3. Take meeting minutes and track action items.
4. Travel Management
1. Arrange domestic and international travel.
2. Book flights, hotels, transportation, and visas.
3. Prepare travel itineraries and expense reports.
5. Administrative Support
1. Maintain confidential records and documents.
2. Prepare reports, spreadsheets, and presentations.
3. Manage filing systems and office documentation.
6. Project & Task Management
1. Assist in tracking key projects and deadlines.
2. Coordinate cross-functional activities.
3. Monitor progress and provide status updates.
7. Stakeholder Management
1. Build relationships with clients, vendors, and partners.
2. Coordinate executive interactions with leadership teams.
3. Handle sensitive and confidential information professionally.
8. Event Planning
1. Organize corporate events, board meetings, and executive workshops.
2. Manage logistics, invitations, and venue arrangements.
