Key Responsibilities:
  • Research, organize, and maintain software contracts, license agreements, maintenance agreements, and reseller information.
  • Match software resellers to individual products and validate agreement ownership, terms, and renewal obligations.
  • Track agreement expiration dates, maintenance renewal schedules, funding requirements, and software usage conditions.
  • Create and maintain centralized tracking mechanisms for software contracts, license inventories, and responsible business owners.
  • Prepare and deliver monthly renewal and compliance reports to project managers, IT leadership, and stakeholders.
  • Analyze software license usage and identify non-compliance risks or usage outside contractual entitlements.
  • Develop remediation and mitigation plans for licensing or compliance gaps.
  • Support audit preparation, compliance reviews, corrective action tracking, and internal governance processes.
  • Facilitate working sessions with technical teams, project managers, vendors, and business stakeholders.
  • Manage tracking backlogs, monitor action items, and provide statrisk reporting.
  • Collaborate with Senior Business Systems Analysts and IT Administration teams on contract lifecycle and funding management.
  • Document findings, recommendations, and operational processes clearly and accurately.
  • Perform additional related duties as assigned.
Qualifications:
  • Bachelor’s degree in Information Systems, Accounting, Supply Chain Management, Communications, Public Administration, or a related field; or equivalent professional experience.
  • Minimum 10 years of hands-on experience in software license management, contract administration, software asset management, or IT contract compliance.
  • Strong understanding of software licensing, contract lifecycle management, maintenance renewals, and compliance tracking.
  • Experience researching, tracking, and maintaining software agreements, reseller information, renewal schedules, and funding requirements.
  • Experience performing license usage analysis, identifying compliance gaps, and developing remediation or mitigation plans.
  • Experience supporting audits, compliance reporting, internal controls, risk tracking, or corrective action processes.
  • Demonstrated ability to lead working sessions, coordinate cross-functional stakeholders, manage action items/backlogs, and provide status and risk reporting.
  • Strong analytical, organizational, documentation, and problem-solving skills.
  • Excellent written and verbal communication skills with the ability to explain compliance or technical issues to both technical and non-technical stakeholders.
  • Ability to establish and maintain effective working relationships with internal teams, vendors, project managers, and leadership.
  • Proficiency with Microsoft Office applications, especially Excel, reporting tools, and tracking systems.
  • Experience using tools such as JIRA, HPQC, SharePoint, ServiceNow, or similar project and reporting platforms is preferred.
  • Familiarity with Software Asset Management (SAM) or IT Asset Management (ITAM) practices is preferred.
  • Knowledge of Judicial Branch Contracting Manual, State Contracting Manual, or State Administrative Manual is desirable.
  • Recent experience supporting government agencies, public-sector organizations, or similarly regulated environments is preferred.
