Summary

Job Description:

Administrative Assistant responsible for coordinating laptop installation appointments, managing international travel scheduling, and supporting operational reporting and inventory processes. This role requires strong organizational, communication, and time management skills to ensure efficient scheduling and accurate reporting.

 

Key Responsibilities:

  • Coordinate and schedule all incoming laptop installation requests.
  • Schedule and manage international travel arrangements in accordance with organizational requirements.
  • Communicate with users via email to provide available dates and times for laptop installations.
  • Contact users to coordinate and confirm international travel schedules.
  • Prepare and complete monthly operational reports, ensuring accuracy and timely submission.
  • Complete weekly equipment receiving reports and maintain accurate inventory records.
  • Coordinate with internal teams to ensure installations, travel, and equipment logistics are completed efficiently.
  • Maintain organized scheduling records and provide timely updates.
  • Assist with additional administrative and logistics-related tasks as needed.

 

Qualifications:

  • High school diploma or equivalent; associate''s degree preferred.
  • Experience in scheduling, administrative support, logistics, or coordination.
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word) and scheduling/calendar applications.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.

 

Preferred Skills:

  • Experience coordinating IT equipment deployments or installations.
  • Familiarity with inventory management and reporting processes.
  • Experience supporting travel coordination or logistics.
  • Ability to work independently while collaborating effectively with cross-functional teams.
