Summary

The Mailroom Clerk is responsible for supporting Claims Operations through the receipt, sorting, preparation, tracking, and distribution of incoming mail and documentation. The majority of incoming mail consists of healthcare claims, provider correspondence, medical records, and supporting documentation that must be accurately prepared for imaging and processing within the Medicaid Management Information System (MMIS).

This position plays a critical role in ensuring timely handling of provider submissions and requires a highly reliable, detail-oriented individual who can work independently in a fast-paced environment while maintaining accuracy and established procedures.

Your role in our mission

  • Receive, sort, and distribute incoming mail, claims, and provider documentation to the appropriate departments.
  • Prepare, batch, scan, and index healthcare claims and documents for electronic imaging and processing.
  • Log, track, and reconcile incoming checks, financial documents, and mail volumes while maintaining accurate records.
  • Research and route misdirected or incomplete mail, coordinating with internal departments to ensure timely document delivery.
  • Maintain confidentiality of Protected Health Information (PHI) and provide operational support for special projects as needed.


What we're looking for

  • High School Diploma or equivalent required.
  • 1-3 years of experience in mailroom operations, healthcare administration, records management, claims support, or a related field preferred.
  • Experience with healthcare claims, insurance documentation, provider correspondence, or medical terminology preferred.
  • Strong attention to detail, organizational skills, time management, and the ability to work independently.
  • Proficiency in Microsoft Office Suite with strong communication skills and the ability to maintain confidentiality.


What you should expect in this role

  • Full-time, on-site position located in Warwick, Rhode Island.
  • Handle high volumes of medical claims and provider documentation daily.
  • Perform physical tasks including standing, sorting, filing, and lifting mail trays and boxes.
  • Work independently to ensure business-critical documents are received, tracked, and processed accurately.
  • Support a critical function within the Rhode Island Medicaid Claims Operations team.

The pay range for this position is $30,500.00 - $43,500.00 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
