Summary

Position Overview

We are seeking an experienced and highly organized Administrative Assistant to support daily business operations, customer-facing activities, and departmental coordination. The ideal candidate will demonstrate strong proficiency in the Microsoft 365 suite, SAP, data analysis, and the ability to create polished executive-level PowerPoint presentations. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.

 

Key Responsibilities

Administrative & Office Support

·        Provide daily administrative support to leaders and team members

·        Manage calendars, meetings, travel arrangements, and communications

·        Prepare, review, and edit correspondence, reports, and internal documentation

·        Maintain organized electronic and physical filing systems

 

Data Analysis & Reporting

·        Use Excel to pull queries, clean data, and generate analysis

·        Develop and maintain pivot tables, charts, dashboards, and graphs

·        Provide data-backed insights to support operational and business decisions

 

Systems & Tools Expertise

·        Perform SAP tasks such as data entry, reporting, tracking, and processing customer-related transactions

·        Utilize Microsoft 365 tools including Outlook, Teams, SharePoint, Excel, PowerPoint, and Word

·        Ensure accuracy and quality in all system-driven outputs

 

Customer-Facing Documentation

·        Process, prepare, and send customer quotes, invoices, and purchase orders (POs)

·        Track customer documentation to ensure timely and accurate delivery

·        Support commercial teams with documentation accuracy and version control

 

Executive-Level Presentation & Communication

·        Develop high-impact PowerPoint presentations for executive and customer audiences

·        Summarize technical or operational data into clear, professional visual formats

·        Maintain consistent branding and messaging

 

Office Management

·        Oversee day-to-day office operations

·        Coordinate with office vendors and service providers

·        Manage office supply inventory

 

Community Outreach Leadership

·        Lead, organize, and coordinate community outreach programs and volunteer initiatives

·        Serve as liaison between the company and community partners

·        Plan events, manage communications, and track participation

 

Qualifications

Required

·        5 or more years of administrative experience

·        Strong Excel skills: queries, pivot tables, formulas, charts

·        Experience with SAP

·        Strong analytical and communication skill

·        High professionalism, confidentiality, and attention to detail

 

Preferred

·        Experience supporting leaders or commercial teams.

·        Experience in office management or facilities coordination

·        Experience planning community outreach or CSR events
