Summary
Finance & Procurement Operations Analyst
Location: Cupertino, CA (Hybrid 3 days On-Site and 2 days Remote)
Duration: 12 Months
Job DescriptionBudget Tracking & Reporting
- Maintain budget tracking systems and update spending data weekly
- Consolidate budget submissions during annual planning and off-cycle request windows
- Generate monthly budget reports showing actuals versus forecast
- Flag variances and discrepancies for Program Lead review
- Track budget allocation by service offering and expense category
Vendor & Renewal Management
- Maintain renewals calendar for software licenses, cloud services, and contractor agreements
- Send reminders to stakeholders 90, 60, and 30 days before renewal deadlines
- Track renewal status and escalate delays to Program Lead
- Document vendor contacts, contract terms, and renewal history
- Support procurement submissions and follow up on processing status
Data Collection & Administration
- Manage service windows for resource allocation data collection
- Send participation reminders and track submission rates
- Identify incomplete or inconsistent data and follow up with employees and managers
- Export data and generate reports on time allocation by service offering
- Maintain documentation for budget and procurement processes
Stakeholder Coordination
- Respond to questions about budget processes, deadlines, and submission requirements
- Schedule meetings and prepare materials for budget reviews
- Coordinate with Finance and Procurement teams on administrative tasks
- Support ad hoc reporting requests from leadership
Required Skills & Experience
Experience:
- 5-7 years in finance operations, budget coordination, or program management support
- Experience managing calendars, deadlines, and multi-stakeholder processes
- Familiarity with budget tracking, vendor management, or procurement workflows
Technical Skills:
- Advanced proficiency in spreadsheets
- Comfortable learning new systems and tools quickly
- Experience with data consolidation and reporting
- Comfortable leveraging AI to build solutions and prototypes to increase productivity
