Summary

We are seeking an experienced Legal Secretary / Paralegal with 3 to 5 years of legal administrative experience to join the Office of General Counsel at the Florida Department of Environmental Protection (DEP) in Tallahassee, FL. This on-site role provides dedicated legal support to 3-4 staff attorneys, handling court filings, case management, discovery preparation, tribunal scheduling, attorney calendar management, and general administrative duties.

Location: 3900 Commonwealth Blvd., Tallahassee, FL 32399

Work Arrangement: 100% On-Site (Office environment; semi-professional attire required)

Role Type: Contract (10/09/2026 – 06/30/2027)

Interview Process: Either Webcam or In-Person Interview

Shift: EST

Compensation Note: Pay rate will be determined by the client based on candidate experience and interview performance.

Key Responsibilities

  • Legal Administration & Secretarial Support: Act as the primary legal secretary for assigned staff attorneys, supporting 3-4 counsel members with day-to-day administrative and case management tasks.
  • Document Formatting & Drafting: Format, finalize, type, and proofread legal correspondence, pleadings, motions, subpoenas, and discovery requests using agency templates and drafts.
  • Court Filings & Service: File motions, pleadings, and legal briefs with appropriate courts and tribunals (e.g., Florida e-Filing Portal); arrange service of process for legal documents.
  • Scheduling & Coordination: Coordinate attorney calendars, schedule hearings, trials, depositions, and facilities; retain court reporters and order transcripts.
  • Calendar & Travel Management: Manage daily calendars, schedule judge assistance meetings, coordinate travel logistics, and answer inbound phone inquiries.
  • Case File & Office Operations: Maintain electronic and physical attorney case files, organize document archives, close completed case files, and assist with general office management.

Required Qualifications & Experience

  • Legal Secretary / Paralegal Experience: 3 to 5 years of hands-on experience as a legal secretary, legal assistant, or paralegal.
  • Court Filing & Legal Documentation: 3+ years of experience preparing legal documents, drafting subpoenas/discovery requests, and submitting filings to state courts/tribunals.
  • Calendar Management: 2+ years managing executive calendars, attorney schedules, hearings, and depositions.
  • Travel Coordination: 1+ years coordinating business travel arrangements.
  • Software Proficiency: 3+ years of proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint).
  • Education: High School Diploma or equivalent required (Associate’s or Bachelor’s degree preferred).

Highly Desired Qualifications

  • Experience working directly within the Florida Court Systems or supporting a State of Florida Agency Attorney.
