Title: Dealer Event Coordinator (Event Planner Experiential Marketing, Corporate Meetings & Events)


Duration: 12 months w2 Contract with potential to extend (Open Ended, potential to go perm)


Location: Los Angeles, CA 90071 ( Four days in the office and one day WFH (usually Friday).


Shift: Monday to Friday 8am-6pm PT


Role Overview The Event Planning Associate (contract) supports the planning and execution of Capital Group's in-person, virtual, and hybrid dealer events. Working alongside Event Experience Managers, Experiential Marketing Specialists, and cross-functional teams, this execution-focused role provides administrative and logistical support across the full event lifecycle-from broker/dealer home office approvals to Cvent tracking and webinar productions.

Key Responsibilities


Event Planning & Logistics


  • Broker/Dealer Approvals: Prepare electronic invitations and coordinate with broker/dealer home offices to clear required attendee approvals for financial advisers, consultants, and clients attending due diligence meetings.
  • On-Site Operations: Handle logistics including venue/vendor research, quote gathering, catering, rooming lists, transportation tracking, attendee check-in, and physical set-up/break-down (including early morning/evening shifts with occasional local hotel overnight stays).
  • Virtual Event Production: Support webinar production activities including platform setup, speaker readiness checks, live polling, Q&A monitoring, and attendee technical support.
  • Speaker & Materials Logistics: Research, check availability, and confirm internal and external speakers; compile, pack, and ship meeting materials for offsite events.
Operations & Attendee Tracking


  • Data & Analytics: Track event registrations and build detailed attendance reports (profiles, frequency, strategies presented) for senior management budget planning and meeting strategy.
  • Attendee Experience: Act as primary contact for attendee inquiries via phone and email while upholding Capital Group policies.
  • Project Management: Maintain project plans, timelines, standard operating procedures (SOPs), and tracking tools; support weekly team meetings by drafting agendas and compiling minutes.

Technical Skills


Required Platforms: Cvent, WebEx, Google Suite (G Suite), Microsoft Office (Outlook, Excel, PowerPoint, SharePoint, Teams)


Preferred Platforms: EMS, Salesforce, Zoom, Goldcast


Professional Experience


Prior background in event planning, meeting support, hospitality, marketing programs, or project coordination.


Strong organizational, multitasking, and written/verbal communication skills.


Experience managing fast-paced priorities with a high attention to detail and customer service mindset.
