Summary

The Healthcare IT Project Manager is a highly customer-facing role dedicated exclusively to the RTS/healthcare project portfolio. The position plans, coordinates, and governs healthcare IT projects from approved scope through acceptance and closeout, with responsibility for schedule, budget, resource coordination, risk, change control, reporting, and customer project communication. Projects may include Microsoft 365, Cisco Meraki and basic networking, infrastructure refreshes, security initiatives, business applications, new-site openings, relocations, onboarding, and multi-location deployments supporting healthcare organizations and Ambulatory Surgical Centers (ASCs).

Reporting to the Lead Project Manager, this net-new role has no direct reports but leads matrixed project teams and coordinates closely with the Technical Account Manager, Technical Engineer, Project Engineer, Support, Security, vendors, and client stakeholders. The Project Manager owns project governance and delivery coordination; technical solution design and execution remain with the assigned technical resources, while account strategy, roadmaps, budgets, and the broader client relationship remain with the Technical Account Manager.

SPECIFIC RESPONSIBILITIES : Other duties may be assigned to meet business needs.
  • Project intake and readiness: Accept approved projects into delivery and verify that the SOW, assumptions, exclusions, acceptance criteria, stakeholders, client responsibilities, required access, equipment and licensing, vendor dependencies, resource needs, change windows, and known risks are complete before committing a schedule. Return incomplete handoffs for clarification or approval.
  • Planning and scheduling: Develop and maintain practical project plans, milestones, work breakdowns, dependencies, resource schedules, communications, and target dates. Coordinate with resource managers to secure appropriate technical capacity and protect committed engineering time.
  • Scope and change control: Maintain the approved scope baseline, document requested changes, assess schedule, budget, resource, and risk impacts with the appropriate technical and business owners, and obtain approval before out-of-scope work proceeds.
  • Budget and forecast management: Track labor, expenses, commitments, cost-to-complete, forecast, and variance against the approved project budget; identify overrun risk early and coordinate corrective decisions with project stakeholders and leadership.
  • Risk, issue, dependency, and decision management: Maintain current risk, issue, action, dependency, and decision records with accountable owners and due dates; resolve routine blockers and escalate material or aging concerns with clear impacts and recommended options.
  • Customer project communication: Lead project kickoffs, recurring status meetings, milestone reviews, and closeout discussions. Provide timely, candid, and decision-oriented updates; document commitments and decisions; and communicate delays, tradeoffs, and required client actions professionally.
  • Project and portfolio reporting: Maintain accurate project records, dashboards, general KPIs, and recurring status reports for assigned projects and the healthcare portfolio, including project health, milestone progress, schedule and budget variance, resource demand, risks, changes, blockers, decisions, forecasted completion, acceptance, and billing readiness. Support quarterly and annual portfolio reporting requested by the Lead Project Manager or healthcare leadership.
  • Cross-functional resource coordination: Coordinate the work and dependencies of Project Engineers, Technical Engineers, Support, Security, procurement, vendors, and other contributors without assuming direct people-management authority. Clarify task ownership, due dates, handoffs, and escalation paths throughout delivery.
  • Quality and acceptance: Maintain documented acceptance criteria and delivery checkpoints, confirm completion with the appropriate client and business stakeholders, and ensure technical validation is performed and documented by the assigned technical owner.
  • Healthcare operational safeguards: Plan delivery around clinical and ASC operating requirements, patient-care and business-continuity concerns, privacy and security obligations, approved maintenance windows, downtime procedures, and stakeholder communication. Escalate any condition that could create unacceptable operational or compliance risk.
  • Billing readiness: Validate completed milestones, approved changes, recorded labor and expenses, client acceptance, and other required evidence; provide accurate and timely billing-readiness information to Finance and the Technical Account Manager. Account-level invoice management remains with the Technical Account Manager.
  • Closeout and operational handoff: Obtain documented acceptance, manage remaining punch-list items, confirm technical documentation and knowledge transfer, transition ongoing responsibilities to Support and account teams, complete final budget reconciliation, support the billing trigger, and capture lessons learned.
  • Process improvement: Contribute to consistent healthcare project templates, intake standards, reporting, governance practices, lessons learned, and continuous improvement across the healthcare project portfolio.

Requirements

REQUIRED QUALIFICATIONS:
  • Bachelor's degree in Business, Information Technology, Healthcare Administration, Project Management, or a related field preferred; equivalent relevant experience and professional certifications may substitute.
  • 3-5 years of progressive IT project-management or project-coordination experience, preferably within a managed services, professional services, healthcare, or other regulated environment.
  • Demonstrated ability to manage multiple concurrent infrastructure, cloud, network, security, business-application, new-site, relocation, onboarding, or multi-location projects from approved scope through closeout.
  • Strong customer-facing communication and facilitation skills, including the ability to lead project meetings, present status and tradeoffs, manage difficult conversations, document decisions, and maintain credibility with technical and non-technical stakeholders.
  • Working knowledge of project scope, scheduling, resource planning, budget and forecast management, risk and issue management, change control, acceptance, closeout, and operational handoff.
  • Sufficient technical literacy to understand common Microsoft 365, Cisco Meraki, networking, endpoint, server, security, and vendor-application dependencies, while relying on assigned technical owners for architecture, validation, and execution.
  • Experience maintaining reliable project data and reporting in a PSA, project-management, or portfolio-management platform; familiarity with ConnectWise Manage or a comparable PSA and Microsoft 365 tools is preferred.
  • Working awareness of HIPAA, PHI/ePHI, confidentiality, security, clinical operations, and change-window considerations affecting healthcare IT delivery.
  • Strong organizational judgment, attention to detail, follow-through, financial discipline, and the ability to prioritize competing commitments in a fast-paced, high-touch service environment.
  • Ability to travel to assigned client or company locations and support planned after-hours project activity, such as cutovers or maintenance windows, when required. This is not a general support on-call role.

PREFERRED CERTIFICATIONS:
  • Project Management Professional (PMP) or Certified Associate in Project Management (CAPM)
  • ITIL Foundation (current version)
  • Certified Associate in Healthcare Information and Management Systems (CAHIMS) or comparable healthcare IT training
  • PMI Agile Certified Practitioner (PMI-ACP), Certified ScrumMaster (CSM), Professional Scrum Master I (PSM I), or Lean Six Sigma training when relevant to the project portfolio

Equivalent current certifications and demonstrated experience will be considered. Proven IT-required HIPAA privacy, security, breach-notification, and security-awareness training must be completed within required timeframes and maintained thereafter.

Benefits

GROUP HEALTH INSURANCE: After a 30-day waiting period, full-time employees (who work at least 30 hours per week) and their dependents, are eligible to enroll in health benefits utilizing the Cigna network. Health options include a choice of 2 PPO plans or a High Deductible Health Plan with employer contributions to a Health Savings Account (HSA). In addition, Dental benefits are available through Mutual of Omaha as well as a Vision PPO plan utilizing the EyeMed network. Additional offerings include an employee discount program, home and auto insurance services and commuter/transit FSA.

EMPLOYER PROVIDED LIFE/AD&D INSURANCE: After a 30-day waiting period, Proven IT provides a flat $25,000 Life Insurance benefit, administered by BlueCross BlueShield, to all full-time employees (who work at least 30 hours per week). Accidental Death & Dismemberment (AD&D) benefit payments are determined based on the type of loss incurred and are payable up to the full Life Insurance benefit amount. Life and AD&D Insurance coverage amounts are reduced at ages 65, 70 and 75.

EMPLOYER PROVIDED LTD: Long-Term Disability (LTD) insurance is an employer-provided benefit and provides protection from loss of income in the event that an employee is unable to work due to illness, injury, or accident for a long period of time. The elimination period is 90-days, and the maximum benefit is 60% of covered payroll up to $6000/month. This benefit is paid entirely by Proven IT and has no cost to the employee.

EMPLOYEE ASSISTANCE PROGRAM: All employees may utilize the Disability Resource Services through BlueCross BlueShield of Illinois to assist themselves and their immediate family with convenient resources to help address emotional, legal and financial issues. Telephonic counseling and web-based services are available as well as a limited number of geographically accessible face-to-face sessions.

401K PLAN: All employees are eligible after 120 days of service to contribute on either a pre-tax or post-tax (Roth) basis to the 401K plan, administered by Principal Financial Services. Proven offers an employer match equal to 100% of the first 3% of deferrals plus 50% of the next 2% of deferrals.

FINANCIAL ADVISORY SERVICES: Proven IT partners with Merrill Lynch to offer financial advisement to all employees. Merrill Lynch financial advisors are available to assist employees at no cost, with their 401k and retirement questions.

PERMISSIVE TIME OFF POLICY: Proven provides a competitive paid time off policy for all full-time regular employees after a 90-day waiting period. Proven IT empowers their employees to work with their managers and team to coordinate all time off. Managers may impose a limit to requests for time off based on performance and tenure.

PARENTAL LEAVE: Proven IT offers a generous parental leave policy for new parents. After 24-months of employment, Proven provides full-time regular employees with 90-days of paid Maternity leave and 10-days of paid Paternity leave. Employees with less than 24-months of service may take the same amount of unpaid time off.

FITNESS CENTER: Proven IT offers a free on-site fitness center at the Tinley Park headquarters office location to all employees 24/7 Monday through Sunday. Employees utilize the gym equipment at their own risk.
