Summary

Position Summary

The Procurement Manager supports and coordinates procurement activities for a mechanical

contracting company, assisting with sourcing materials and equipment required for construction

projects. This role focuses on executing purchasing processes, maintaining procurement

documentation, and ensuring timely ordering and delivery of materials in accordance with

project requirements, company procedures, and direction from project managers and leadership.

Key Responsibilities

Assist in implementing procurement strategies aligned with project timelines, budgets, and company objectives, under the direction of project managers and leadership.

Coordinate sourcing activities and obtain pricing from suppliers, manufacturers, and subcontractors for HVAC, piping, plumbing, and mechanical systems.

Work with project managers and estimators to review project specifications, drawings, and estimates to identify material and equipment needs.

Prepare and process purchase orders and procurement documentation, ensuring accuracy and compliance with established procedures.

Track material lead times and coordinate delivery schedules to meet project milestones.

Maintain relationships with vendors to support pricing, availability, and delivery needs.

Monitor market conditions and report pricing changes or supply risks to project managers and leadership.

Collaborate with project managers and field teams to address procurement-related issues and support project execution. Ensure procurement activities follow company policies, safety standards, and contractual requirements.

Assist with cost control efforts by gathering pricing information and supporting negotiations led by project managers or leadership.

Maintain procurement records and reporting systems for tracking expenditures, orders, and supplier performance.

Provide guidance and support to procurement team members as needed.

Qualifications

Bachelor's degree in supply chain management, Construction Management, Business Administration, or related field (or equivalent experience).

5-10+ years of procurement experience, preferably within the construction or mechanical contracting industry.

Working knowledge of mechanical systems (HVAC, piping, plumbing) and construction materials.

Experience supporting vendor pricing, contract documentation, and purchasing activities.

Familiarity with construction project workflows, drawings, and specifications.

Proficiency in procurement software, ERP systems, and Microsoft Office Suite.

Strong organizational and problem-solving skills.

Effective communication and interpersonal skills to collaborate across teams.

Ability to manage multiple tasks and priorities in a fast-paced environment.

Knowledge of local suppliers and construction market conditions is a plus.

Timeliness and accuracy of purchase order processing

On-time delivery rate of materials and equipment

Procurement cycle time (requisition to purchase order issuance)

Accuracy of procurement documentation and records

Responsiveness to project team requests and issue resolution

Compliance with company procurement policies and procedures

Reduction in material shortages or delays through effective coordination

Work Environment

Primarily office-based with frequent interaction with project sites, warehouses, and supplier locations.

Fast-paced and deadline-driven environment supporting multiple construction projects simultaneously.

Regular coordination with project managers, estimators, engineers, and field personnel.

May require occasional travel to job sites, vendor facilities, and industry events.

Standard business hours with potential for extended hours during critical project phases.
