Pay Rate- $17.30/hr on W2 without benefits
The business hours are from 8 AM to 4:30 PM, Monday to Friday. We are seeking someone who can commit up to 30 hours within that timeframe.
The selected candidate will be responsible for providing support across our Reston and Annandale offices.

Education:
High School Diploma or GED (Required)

The primary purpose of the Adult and Aging Division is to ensure resources, advocacy, safety, and well-being of older adults, adults with disabilities, and caregivers are met. To ensure that the division can carry out its purpose and meet the agency's responsibilities related to advocacy, protection, and well-being, the A&A Director may move or reassign this position's related work duties and responsibilities within the job class. Provides complex administrative support to the Long-Term Care Unit-Adult Services and Adult Protective Services in the Aging Division. Independently supports the critical administrative functions of the Medicaid-funded Long-Term Services and Supports (LTSS) processes. Prepares and tracks all CCC Plus, PACE, Pre-Admission, Nursing Facility, and Assisted Living Facility screenings for the division using technology and Excel reports. The Admin Assistant III may supervise the work of volunteers who assist with various office duties and provide training to new and ongoing administrative staff working in Adult Services and Adult Protective Services. Maintains frequent contact with the Department and LTC Medicaid to process and reconcile assessments and screenings regularly. Address all workers' inquiries and respond to their concerns regarding Medicaid and the Department paperwork. Troubleshoots issues that arise concerning the Medicaid screening processes. Verify receipt and delivery of documents, etc. Distributes completed/ processed screening packets to other administrative staff and ensures accurate completion of these assessments in the relevant data systems. Enters data into multiple county and state systems. Serves as the point of contact and responds to requests for assessments from neighboring hospitals and Home Care agencies. Update, manage, and distribute the Medicaid Provider list, Nursing Facility, Adult Day Health Care centers, CD-Client Facilitator, and Auxiliary Grant listing for the agency. Serves as the point of contact for these agencies hoping to be placed on the list. Assigns new cases to social workers in state and local electronic systems.
Manages all time-sensitive data entry and generation of notification letters for all Client investigations. Composes other professional correspondence, per request of staff and supervisors, to clients and other entities. Tracks all notifications, distribution, and document scanning and uploading to state systems to facilitate remote work access to documentation. Receives, maintains, and reconciles procurement card backup documentation.
Processes county forms and orders supplies; responsible for assembling and maintaining training material used by the Division; plans and prepares for monthly unit meetings, and quarterly Adult Services meetings. Files electronic and paper-based documents, maintains closed record logs, and sends closed records to the record center. Processes and distributes incoming and outgoing mail, and delivers and obtains records and forms. Manages and responds to copy/ fax/ scan machine maintenance and orders/maintains ink supply. Performs general office duties such as copying, faxing, printing, and hand-delivering items within the building. Assists the supervisor with compiling documents for interviews and other meetings as assigned.
Schedules meetings and events as needed and may take minutes. Works as a liaison with volunteers who assist with various office duties and provides training to new and ongoing administrative staff working in Adult Services. Manages unit County car upkeep and maintenance to include documentation of the car mileage, coordinating car maintenance and repairs, and other duties as assigned related to County unit vehicles, which requires driving. Responds to all phone call inquiries to include: Inquiries from hospitals, Social Workers, other administrative staff, Home Care agencies regarding the Medicaid provider list, and others that may arise. Performs other complex and general administrative duties as needed in support of the Division, Department, and County priorities.
