Summary

Goal

Ensure all IDF closets follow established standards to improve durability, redundancy, organization, and overall environmental quality within conditioned spaces.

Primary Objectives

  • Build durable, redundant, and well-organized IDF environments.
  • Maintain standards for device placement, power design, labeling, and cable management to support faster troubleshooting.
  • Improve team processes, strengthen baseline technical skills, and ensure consistent execution across the SEO organization.
  • Formalize training to create accountability and repeatable, high-quality results.
  • Provide clear, timely communication with leadership and project stakeholders.

Environment Evaluation (IDF Closet Audits)

Auditing is critical for documenting the current state of each closet and shaping the cleanup and remediation plan. Data collected during audits will be added to SharePoint for ongoing tracking.

Audit Tasks

  • Complete an assessment form detailing everything in the closet (device types, models, names, serial numbers, etc.).
  • Identify gaps between the current power/cooling environment and target standards.
  • Develop a remediation plan that restores order, meets standards, ensures redundancy, and simplifies troubleshooting.
    • Create a detailed Scope of Work (SOW) outlining equipment removal, relocation, and installation.
    • Build a Bill of Materials (BOM) based on required components.
  • Upload updated documentation to the SharePoint site for each closet.

Evaluation Criteria

  • Physical location, size, and access.
  • Rack types, mounting hardware, and cable management.
  • Cooling infrastructure (capacity, adequacy, redundancy).
  • Power infrastructure (types, quantity, sources - dual-power required).
  • Rack-based power components (UPS, PDU, ATS): model, serial number, age, capacity, utilization, condition.
  • Network/compute equipment details (IP ranges, device types/names, U-height, power, redundancy, outdated components).
  • Photos of the room, racks, and equipment.
  • Key hospital contacts: administrators, facilities, department leads, caregivers.
  • Potential nearby storage/staging areas.

Bill of Materials (BOM) Creation

  • Build an accurate list of required items using the audit data.
  • Obtain vendor quotes, delivery timelines, and funding approval.
  • Secure budget and order equipment.

Implementation Plan Development

  • Document the IDF site description and room details.
  • List items to be removed, relocated, or installed.
  • Identify applications/devices that may experience downtime.
  • Confirm hospital points of contact.

Change Order Preparation

  • Create the initial STANDARD change order, then build out the NORMAL change order with detailed implementation steps.
  • Coordinate downtime windows with stakeholders.
  • Finalize and submit the change order to leadership and the Change Advisory Board (CAB).

Logistics Management

  • Track equipment orders, shipping information, recipients, and delivery timelines.
  • Confirm who will receive, inventory, and relocate equipment to temporary storage.
  • Work with facility teams to clean and prepare the IDF closet.
    • If facilities cannot clear the space, incorporate this work into your preparation time.

Logistics Tasks

  • Track all BOM-related orders.
  • Coordinate IDF space preparation.
  • Confirm shipping, receipt, and inventory steps.

Staging & Preparation

  • Prepare equipment and cabling before the outage (unboxing, mounting ears, applying phase tape, labeling).
  • Move components from temporary storage to the correct closets.
  • Review the implementation plan and change orders.
  • Rack and stack power equipment (UPS, ATS, PDU), connect to the network, assign IPs, and document in EcoStruxure.
  • Move dual-corded devices (no downtime) to the new redundant power sources.
  • Prepare for single-corded device cutovers to rack-mounted ATS units.

Additional Skills & Qualifications

Installation Work

This role involves installing replacement power equipment in IDF/MDF closets to improve redundancy and reliability. Most of this work does not disrupt services.
However, cutovers involving single-corded switches/compute equipment may cause brief service impacts (approx. 5 minutes per switch, 2-5 switches per closet).
You will:
  • Coordinate with departments before cutovers to ensure backups are complete and downtime is acceptable.
  • Complete each closet in ~45 minutes.
  • Verify all systems are functioning afterward.
  • Work primarily during daytime hours, with occasional early morning or evening work as needed.

Technical Responsibilities

  • Provide dual power sources for all rack-mounted equipment.
  • Install secondary power supply modules where applicable.
  • Re-dress and label power cables using standardized color coding (red, yellow, black).
  • Install cabling neatly along vertical/horizontal pathways.
  • Clean up and standardize existing cabling.
  • Use Velcro for organization and strain relief to prevent accidental unplugging.
