Overview of Goals for the IDF Closet "Use our standards in the remediation of the conditioned spaces" Develop durability, redundancy, and organization in conditioned spaces Maintain standards in device placement, power design, labeling, and dressing out cables to facilitate faster troubleshooting Improve team procedures, hone baseline skillsets, and ensure adherence to the process to be relied upon by the SEO organization Formalize training to create accountability and consistent results Be accountable to leadership and ensure clear communication throughout the process Evaluating the Environment through Audits of the IDF closets This is a critical step in documenting the environment and allowing the RSO team to develop a game plan to clean up the closet, make it redundant and dependable and easier to troubleshoot. The information collected will also populate the existing Share Point documentation for each closet that the RSO team has begun to track. Fill out an assessment document with information of what is in the closet, device models, names, s/n, etc Identify differences (delta) between the current power & cooling environment and target standards Develop a game plan to clean up the closet, meet the standards, ensure redundancy, and ease troubleshooting o Create a Scope of Work outlining the removal, relocation, & installation of equipment to remediate issues o From this, create a Bill of Materials (BOM) of the components needed to meet the standards Populate SharePoint with this updated documentation for each closet Criteria for Evaluation Physical location, size, and access to the IDF Types of racks, cable management, and mounting hardware. Cooling infrastructure: Load demand, adequacy, redundancy Power infrastructure: types, quantities, & sources (dual power sources required) Document rack-mounted power components (UPS/PDU/ATS): model, serial number, age, capacity, utilization, and viability Network and compute equipment: IP range, device types, names, U height, power connections, redundancy, and obsolete equipment Specific pictures of the room, racks, and components Information on hospital points of contact (POCs): Administrators, facilities management, department supervisors, and caregivers Potential storage and/or staging areas near the IDF closet Create a Bill of Materials (BOM) Develop an accurate list of required items using the assessment spreadsheet Get vendor quotes, delivery timelines, and funding approval Procure funds and order equipment from vendors Develop an Implementation Plan Document site description and room info List what will be removed, moved, and installed Note devices and applications impacted by downtime Identify points of contact (hospital administrators, facilities managers, department supervisors, and caregivers) Draft Change Orders Create the initial STANDARD change order and then the NORMAL change order - begin populating them with details under the "Implementation Plan" section Negotiate with stakeholders to determine downtime windows Finalize the implementation plan and submit the change order for approval by leadership and the Change Advisory Board (CAB) Manage the Logistics Become organized and track the orders for the project, who is shipping the gear, who is receiving it, and are they aware it is arriving on x morning? Confirm who will verify receipt of equipment & inventory it, and who will move equipment to temporary storage area. Work with local facilities to prepare the IDF closet space (as needed) by removing any materials/trash/non-IS compnents stored in the IDF closet by the station. If that is not possible, make sure to build that work into your prep time, making sure the space is clean and ready for work Track orders from the BOM Coordinate with local facilities to prepare the IDF closet space. Confirm shipping, receipt, and inventory of equipment Stage and Preparation Prepare the components and cabling well before the planned outage (unbox, mount ears, add phase tape, label) Move specific equipment from temporary storage to the appropriate IDF closets Review the implementation plan and CO Perform "Rack & Stack" of power equipment (UPS, ATS, PDU), connect to the network, IP and document in the EcoStruxure system Move dual corded devices (no downtime) to the new redundant power equipment Get things ready for the single corded device "Cutover" to rack mounted Automatic Transfer Switches (ATS)

Installation Work We are installing replacement power equipment the IDF network closets (to fix some failing power components and create redundancy and more dependability within the hospital infrastructure). For this portion of work there is no interruption in services. But, we will also be conducting cutover work of single corded switch/compute equipment, moving them off the obsolete legacy rack ATS and into a newly installed versions. This process is fairly quick (around 5 minutes for each switch and usually involves 2 to 5 switches per closet). During that time some of the workstation and server components might be impacted (bounce up & down momentarily). We will be contacting the departments associated with each closet to coordinate, make sure they are backed up, and that they are okay for us to conduct the work. We should be in and out of each closet within 45 minutes and once done we'll verify everything is back to normal for the associated department/area, then we will move onto the next IDF. The work will primarily be happening throughout the day, but some areas may require us to work during the evenings or early mornings. Provide dual power sources for all MDF/IDF rack equipment (single and dual corded devices) Install additional (secondary) power supply modules in switches and servers (where applicable) Re-dress power cables with Red, Yellow, and Black color codes (phase tape), ensuring labels on both ends Install cabling according to vertical and horizontal pathways, making sure they are consistent and parallel to other cable runs Clean up cabling, ensuring uniformity and proper dressing Use velcro for organization and for strain relief at power plug points to prevent accidental disconnection
