Program Administrator

Overview

We are seeking an organized and detail-oriented Program Administrator to support operational programs, project coordination, reporting, and stakeholder communications across multiple locations. This role plays a critical part in ensuring program activities run efficiently by managing reporting processes, maintaining documentation, coordinating cross-functional teams, and supporting operational governance activities.
The ideal candidate is highly organized, excels at managing competing priorities, and has experience supporting program or project operations in a fast-paced environment.

Key Responsibilities

Program Coordination

  • Coordinate day-to-day program activities across multiple operational sites.
  • Serve as a central communication and coordination resource for stakeholders.
  • Schedule, organize, and facilitate meetings, reviews, and follow-up activities.
  • Support established escalation processes and ensure timely issue resolution.
  • Assist program leadership with planning, tracking, and execution activities.

Reporting & Metrics

  • Collect, validate, and organize operational data from approved systems and tools.
  • Prepare recurring program status reports, dashboards, and performance metrics.
  • Track key performance indicators (KPIs) and service-level objectives.
  • Maintain reporting templates and data repositories.
  • Ensure reporting accuracy and consistency across programs.

Administrative Support

  • Manage program documentation, meeting notes, action items, and deliverables.
  • Maintain project timelines, milestones, and status updates.
  • Track workflows and support adherence to operational processes.
  • Assist with audit readiness and documentation management.
  • Support program governance and operational reviews.

Process Improvement

  • Support standardized operating procedures and best practices.
  • Identify process inefficiencies and recommend improvements.
  • Assist with workflow enhancements and reporting optimization initiatives.
  • Maintain feedback tracking and communication processes.

Risk & Issue Management

  • Document risks, issues, dependencies, and mitigation plans.
  • Escalate concerns through established governance channels.
  • Coordinate follow-up activities to drive issue resolution and closure.
  • Support operational continuity through effective tracking and communication.

Required Qualifications

  • Bachelor's degree or equivalent professional experience.
  • 2+ years of experience in program coordination, project administration, operations support, or business support functions.
  • Experience creating and maintaining reports, dashboards, and operational metrics.
  • Strong organizational, prioritization, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, Teams, and SharePoint.
  • Ability to work independently and collaborate effectively across multiple teams.

Preferred Qualifications

  • Experience supporting data center operations, IT operations, technical teams, or other large-scale operational environments.
  • Experience with reporting and visualization tools such as Power BI.
  • Familiarity with project management methodologies and governance frameworks.
  • Experience supporting enterprise-level programs or operations.
  • Strong analytical and problem-solving skills.

Success in this role will be demonstrated through:
  • Accurate and timely delivery of reporting and program updates.
  • Effective coordination of stakeholder communications and meetings.
  • Consistent maintenance of project documentation and operational records.
  • Timely identification, escalation, and tracking of issues and risks.
  • Contribution to improved operational efficiency and reduced administrative burden for program leadership.
  • Support of program objectives, milestones, and workflow completion targets.

Job Type & Location
This is a Contract position based out of Boardman, OR.
Pay and Benefits
The pay range for this position is $30.00 - $35.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
