Summary

Description

The Microsoft 365 Administrator drives standardization and adoption of Microsoft 365 across the organization. Routine tenant administration is part of the role, but the main goal is optimizing employee usage of Teams, SharePoint, Power Automate, and other underutilized M365 features consistently and effectively. This individual sets operational standards, builds the intranet, and collaborates with each department to transition workflows onto shared, well-governed tools.

Key Responsibilities

Standardization and Governance
  • Define and enforce standards for Teams and channel creation, naming conventions, ownership, guest access, and lifecycle management.
  • Design a consistent SharePoint site structure, permission model, and document library conventions.
  • Remediate existing Teams and SharePoint sprawl, including orphaned sites, duplicate teams, and overshared content.
  • Apply retention policies, sensitivity labels, and data classification in alignment with internal IT policies.

Intranet
  • Build and maintain a SharePoint-based company intranet featuring department pages, organizational news, and key resources.
  • Establish content ownership and a publishing workflow to ensure departments maintain current information on their respective pages.

Adoption and Training
  • Identify licensed but underutilized M365 capabilities (Planner, Lists, Forms, Bookings, OneDrive, Loop, etc.) and drive organizational adoption.
  • Build Power Automate workflows to replace legacy email- and spreadsheet-based processes.
  • Deliver training sessions, user documentation, and office hours; monitor adoption metrics using M365 usage reports.
  • Partner with the AI Specialist on Copilot readiness and rollout initiatives.

Administration
  • Manage users, licenses, groups, and tenant settings within the Microsoft 365, Teams, SharePoint, and Exchange admin centers.
  • Support Entra ID tasks such as group management and conditional access policy execution under the guidance of senior IT staff.
  • Track Microsoft 365 roadmap updates and evaluate their operational impact on end users.

Requirements

Required Qualifications
  • Bachelor's degree in Information Systems, Computer Science, or a related field, or equivalent practical experience.
  • 1-4 years of experience administering or supporting Microsoft 365 environments, including Teams and SharePoint Online.
  • Demonstrated experience building SharePoint sites and managing permission architectures.
  • Hands-on experience developing Power Automate workflows.
  • Proven track record of training users or leading adoption initiatives for new software tools.
  • Strong organizational skills and precise documentation habits.

Preferred Qualifications
  • Relevant Microsoft certifications (e.g., MS-900, MS-102, or PL-900).
  • Experience architecting a SharePoint intranet or leading a Teams/SharePoint governance project.
  • Familiarity with Microsoft Purview (retention, sensitivity labels) and Entra ID administration.
  • Exposure to Copilot for Microsoft 365, Copilot Studio, or Power BI.
  • Experience supporting multi-site operational or manufacturing environments.

First-Year Success Measures
  • Teams and SharePoint governance standard published and fully implemented across active sites.
  • Company intranet successfully launched with representation from all internal departments.
  • Measurable increase in M365 feature adoption, including the transition of at least 5 manual processes to Power Automate workflows.
