Summary

We are supporting our SaaS client in hiring a Proposal / Bid Coordinator. This individual will own the end-to-end RFP process (2-4 concurrent proposals, strong stakeholder coordination, heavy public-sector exposure). This is a mid-level role with room to grow, high autonomy, and strong AI support (less writing, more ownership and project management). US-based East Coast working hours.
Description
Manage end-to-end bid/proposal process (RFI, RFP, RFQ) across multiple concurrent submissions
Coordinate cross-functional internal teams to gather content and meet submission deadlines
Write, format, and QA proposal documentation; maintain bid knowledge base and content library
Qualify bid opportunities and support go/no-bid decisions
Manage tender portals, login credentials, and deadline tracking via Tender Planner
Work alongside Sales AEs to understand buyer requirements and tailor proposals
Assess technical and commercial risk during bid qualification
Respond to client and stakeholder queries throughout the bid lifecycle

This is a coordinator-first role: writing proposals is largely assembly from internal contributors; the greater value is keeping bids organized, on time, and moving through internal approvals
Strong project management instincts - ability to hold stakeholders accountable without direct authority
Excellent written and verbal communication; comfortable translating technical inputs into polished, client-facing language
High attention to detail and ability to manage multiple in-flight bids simultaneously
Self-starter who can operate independently with minimal day-to-day oversight
Fleet, logistics, supply chain, or automotive background is a plus but not required

Pay and Benefits
The pay range for this position is $80000.00 - $80000.00/yr.
Health/Dental/Vision/401k. Annual bonuses based on company growth (last year was ~5% of salary).
