Job Description

The Public Records Analyst is responsible for conducting daily financial and legal reviews for a high volume of individuals within a regulated industry. This role involves analyzing public financial and legal records, verifying accuracy, and ensuring documentation is complete and properly reported throughout the review process.
Key responsibilities include interpreting and validating information such as bankruptcies, judgments, and liens through online research; documenting findings in internal systems; and drafting formal written inquiries requesting clarification or additional information when required. Additional duties include compiling statistical data, monitoring shared email inboxes, and reviewing correspondence for compliance and accuracy.
This position is ideal for detail-oriented professionals with strong analytical and research skills who are able to manage multiple records efficiently while maintaining a high level of accuracy. A understanding in financial services, legal, compliance, or investigative work is beneficial but not required.

Key Responsibilities

  • Review and analyze public financial and legal records, including:
    • Bankruptcies
    • Judgments
    • Liens
  • Conduct research using:
    • State and county public court or recorder websites
    • Online legal research tools (e.g., LexisNexis or similar platforms)
  • Verify:
    • Records belong to the correct individual
    • Whether information has been previously disclosed or documented
  • Cross-check findings against internal databases and systems
  • Draft and send formal written inquiry letters through internal applications
  • Maintain strict accuracy and quality control standards
  • Retrieve, compile, and document data for tracking and reporting purposes
  • Monitor shared inboxes and review correspondence for compliance requirements

Tools & Systems

  • Internal case management and documentation systems
  • Third-party data feeds providing public record information
  • External public record databases and legal research tools
  • Microsoft Excel for data tracking and documentation

Team Structure

  • Analysts work within a larger operations team supported by managers
  • Day-to-day collaboration occurs within a small working group
  • This role does not involve direct phone communication with external parties
  • All outreach and correspondence is written and system-based
  • Any escalations or disputes are handled by a separate group

Ideal Candidate Profile

  • Strong online research skills
  • Comfortable navigating public record systems across multiple jurisdictions
  • Highly skilled in:
    • Data analysis
    • Accuracy and quality control
    • Written documentation
  • Detail-oriented with a strong investigative mindset
  • Able to manage a consistent, high-volume workload
  • Legal or paralegal understanding is helpful but not required
  • Familiarity with legal terminology (e.g., disposition, liens, judgments) is a plus

Pay and Benefits
The pay range for this position is $20.00 - $20.00/hr.
