Position: UKG Pro WFM Product SME

Position Summary
A senior UKG product expert who has led, or held a key role in, at least one migration from Kronos Workforce Central to UKG Pro WFM, preferably at a higher-education institution. The Product SME owns UCLA's configuration workstream: translating policy and bargaining-agreement requirements into Pro WFM design, shaping and delivering configuration alongside UKG's consultants, and serving as consultant for how Pro WFM should be used. This is a hands-on functional role with technical depth in the product.
Key Responsibilities
- Legacy review: assess the current WFC setup (pay rules, work rules, accrual policies, attendance, labor levels, security) and identify outdated or unused items that should not be carried into Pro WFM.
- Fit-gap analysis: partner with UKG to identify configuration changes required by functional differences between WFC and Pro WFM, and recommend how to configure Pro WFM to meet UCLA policy.
- Requirements: review, refine and validate business requirements, use cases and policy/procedure documentation for all in-scope employee groups, including represented groups. Own the Requirements Traceability Matrix (RTM) from requirement through configuration decision; the QA / Test Analyst extends it to test cases.
- Configuration: build and maintain customer-owned configuration - pay rules, work rules, pay codes, accrual and leave policies, attendance, holidays, overtime, schedule patterns, business structure and labor categories, FAPs, Display Profiles, data access and Cross Reference Tables.
- Functional data mapping: own the functional mapping of WFC pay codes, labor levels and accrual codes to their Pro WFM equivalents and to UCPath earnings codes. (Technical field mapping and conversion loads are owned by the Integration Developer.)
- Integration design input: provide product and policy input to the integration/interface design document, including the labor-transfer and cost-center design that feeds Maximo labor billing.
- Documentation: document project assumptions, risks and configuration decisions; contribute to the project scope document and configuration workbooks.
- Testing: unit-test own configuration before handing it to the QA / Test Analyst, who owns the test workstream; support SIT, parallel payroll and UAT by triaging configuration defects and confirming fixes.
- Go-live: support cutover, go-live and stabilization; transfer knowledge to UCLA System Administrators.
Required Qualifications
- 8+ years of Kronos/UKG workforce management experience covering design, configuration, implementation, upgrades and support.
- Led or held a key role in at least one full-lifecycle Kronos WFC ? UKG Pro WFM migration, including fit-gap analysis, configuration, data validation and go-live readiness.
- Hands-on UKG Pro WFM configuration: Timekeeping, Calculated Accruals, Attendance, Leave, Advanced Scheduling, business structure and labor levels, holidays, overtime and rounding rules.
- Hands-on Kronos WFC (v6.x 8.1.x) configuration: Timekeeper, pay rules, work rules, pay codes, accrual policies, Attendance, Leave, Attestation.
- Security and setup experience: Function Access Profiles, Display Profiles, Data Access Profiles, Hyperfinds, Genies and Cross Reference Tables.
- Experience configuring complex pay and accrual rules for union / CBA populations and for federal and California labor regulations.
- Strong requirements-analysis skills; able to turn policy documents into configuration and traceable requirements.
- Excellent written and verbal communication with technical and business audiences; comfortable leading workshops with HR, Payroll and union-facing stakeholders.
